Pathway: Operations and Quality Manager (subject to a 12-month framework review)
We are seeking a structured, accountability-driven Operations and Quality Team Leader to serve as the single point of contact for all operational functions and own the end-to-end Quality Management System (QMS). Managing a direct team of three (Demand Planner, Inventory & Reporting Officer, Customer Success Manager), this role operates on a dual mandate: 60% Operations Leadership & Governance and a ring-fenced 40% Quality & Compliance allocation.
This is a leadership model defined by oversight, accountability, and system governance rather than individual execution. The ideal candidate sets clear cadences, holds external 3PL/freight providers to account, and leads process-driven initiatives to bring the business to an ISO 9001:2015 certification-ready state.
Key Responsibilities
- Quality & Compliance (40% Ring-Fenced): Build and maintain the QMS framework toward ISO 9001:2015 readiness within 12 months; facilitate team-authored SOPs (minimum 2 controlled documents/month); manage the Risk Register; and oversee regulatory compliance (AICIS and TGA lead times).
- Team Leadership & Operational Cadence (25%): Lead weekly operations meetings, deliver monthly department reporting by the 5th business day, conduct on-time performance reviews for 3 direct reports, and implement cross-training coverage across all functions.
- Service Provider Governance (15%): Chair quarterly performance reviews with freight, warehousing, and 3PL logistics partners, tracking KPIs, transit reliability, and cost-improvement initiatives.
- Operational Performance & Scorecard (10%): Own the Ops Scorecard end-to-end, confirming data integrity with the Inventory & Reporting Officer, and driving a minimum of one continuous improvement initiative per month.
- Single Point of Contact & Escalation (10%): Act as the primary operational point of contact for the Managing Director, framing every escalation with context, clear options, and actionable recommendations.
Job Requirements: Non-Negotiable Core Requirements
- Location & Availability: Must reside within Greater Metro Manila for periodic team events, with full-time availability aligned with Sydney business hours (AEST/AEDT).
- Western Business Experience: Proven experience supporting Western (Australian, NZ, UK, or US) business operations.
- Quality & Compliance Capability: Demonstrated expertise in quality management, process documentation, risk register oversight, and quality incident handling.
- Leadership Through Oversight: Proven ability to manage, coordinate, and hold internal functional owners and external suppliers accountable without executing the ground-level work yourself.
- Communication & Decision Frameworks: Flawless written and verbal English skills, with a track record of framing operational issues using a "context, options, and recommendation" approach.
- Working knowledge of ISO 9001:2015 implementation.
- Awareness of Australian chemical or therapeutic regulatory frameworks (AICIS, TGA).
- Exposure to supply chain, demand planning, or distribution environments.
- Hands-on exposure to platforms such as Unleashed, Netstock, Mainchain, or similar ERP and 3PL systems.
- Accountability-Driven: Sets expectations clearly and follows up persistently without micromanaging.
- Protective of Quality Standards: Holds the 40% quality allocation firm, resisting the urge to let day-to-day management erode compliance focus.
- "So What" Thinking: Evaluates every completed task against downstream operational impacts, profit margins, and strategic goals.
