Job summary

Outsource Accelerator is seeking an AP administrator in Metro Manila to manage vendor invoices, enter bills in NetSuite, and ensure correct coding to vendors, accounts, and projects. The role flags issues to the COO and records payments for bank matching.

You will reconcile bank accounts, monitor bank feeds for vendor and client payments, and provide weekly and monthly deliverables with precise communication and discretion.

Qualifications

• 3+ years of full-cycle AP and bank reconciliation experience.
• Hands-on NetSuite experience with vendor bills, payments, and bank feeds.
• Experience with project-based or construction/contracting businesses is a plus.
• High attention to detail with discretion handling confidential information.
• Clear written communication and reliable follow-through.

Responsibilities

• Monitor the accounting inbox for incoming vendor invoices and bills.
• Enter vendor bills in NetSuite AP and code correctly.
• Flag missing, duplicate, or disputed invoices to the COO.
• Record vendor payments in NetSuite and match to bank feed.
• Monitor cash bank feeds for outgoing vendor and incoming client payments.
• Match bank feed payments to bills and client payments.
• Match employee expense reports to bank feed transactions.
• Produce weekly unmatched bank feed transactions list.
• Send the list to the COO and follow up until resolved.
• Reconcile every company bank account monthly.
• Investigate and resolve reconciling differences.
• Monitor finance requests (W-9s etc) and respond promptly.
• Raise client-reported issues from the accounting inbox to COO.
• Maintain the chart of accounts in NetSuite.
• Identify and clean up unused/ duplicate/ miscategorized accounts with COO approval.
• Own follow-up on outstanding client invoices when COO requests.
• Reconcile project expenses at project completion.
