Role Summary:
We are looking for a professional and organized Medical Receptionist to serve as the primary administrative point of contact for patients. This role is responsible for handling patient communications, scheduling, registration, insurance-related administrative tasks, chart setup, and providing administrative support to clinical providers.
Key Responsibilities
- Answer incoming calls professionally and assist patients with scheduling, billing, insurance, records, and other administrative concerns.
- Verify patient identity before discussing or releasing protected information.
- Schedule new and established patient appointments, including cancellations and rescheduling.
- Create and maintain accurate patient charts and demographic information.
- Collect and upload required identification, insurance information, intake forms, consents, and other documentation.
- Confirm appointment details, including provider, date, time, location, and telehealth/in-person arrangements.
- Verify insurance eligibility and benefits and assist with resolving administrative insurance issues.
- Communicate with patients regarding insurance concerns and coordinate with billing/credentialing personnel when necessary.
- Support providers with non-clinical administrative tasks, including records, referrals, releases of information, forms, and letters.
- Route patient messages, medication/refill requests, and other concerns to the appropriate provider.
- Follow up on insurance and pharmacy administrative matters.
- Track assigned tasks through completion and provide updates to providers when necessary.
- Maintain accurate and timely documentation of patient communications and administrative activities.
- Maintain strict patient confidentiality and comply with HIPAA requirements.
- Promptly escalated clinical, safety, medication, or emergency-related concerns to the appropriate clinical staff.
Qualifications & Skills
- Strong administrative and organizational skills.
- Excellent verbal and written communication skills.
- Professional and empathetic approach when dealing with patients, families, providers, pharmacies, and insurance companies.
- Strong attention to detail and accuracy when handling patient and insurance information.
- Ability to manage multiple tasks and follow established procedures.
- Ability to handle confidential and sensitive information appropriately.
- Experience in a medical, healthcare, clinic, or psychiatric setting is preferred.
- Familiarity with scheduling systems, electronic health records, insurance verification, and HIPAA requirements is an advantage.

The Front Desk Operations Specialist is not expected to provide medical advice, make clinical decisions, interpret laboratory results, or recommend medication changes. Concerns requiring clinical assessment must be escalated to the appropriate licensed provider.
