Job Description
- Greet and check in patients upon arrival, ensuring all personal and insurance information is collected and accurately entered into the system.
- Provide patients with necessary forms to complete and assist with documentation as needed.
Appointment Scheduling & Coordination:
- Schedule patient appointments efficiently and maintain the clinic calendar.
- Confirm patient appointments, send reminders, and follow up on missed appointments.
Medical Records Management:
- Ensure patient medical records are updated and accurately filed, both electronically and physically.
- Maintain confidentiality and security of all patient data, adhering to legal and ethical standards.
- Assist in the preparation of patient charts for upcoming appointments.
Billing & Insurance Processing:
- Process patient billing and payments, including co-pays, balances, and insurance claims.
- Assist patients with billing inquiries and insurance verification.
- Coordinate with insurance companies for claims submission, follow-ups, and resolution of issues.
Correspondence & Communication:
- Answer phone calls, emails, and patient inquiries promptly and professionally.
- Provide general information regarding services, insurance policies, clinic hours, and other administrative matters.
- Communicate effectively with doctors, nurses, and other staff regarding patient care and clinic operations.
Inventory Management:
- Assist in monitoring office and medical supplies, ensuring inventory is stocked and ordering supplies when necessary.
- Ensure the clinic’s waiting areas are clean, organized, and stocked with necessary materials.
- Provide patients with educational materials or instructions related to their appointments, medications, or treatments, as directed by healthcare providers.
- Ensure patients are informed about clinic policies and procedures.
Administrative Support:
- Assist with general office tasks such as filing, faxing, scanning, and document management.
- Help prepare reports, forms, and documents as needed by the management or healthcare providers.
Compliance & Safety:
- Adhere to all clinic policies, procedures, and regulatory requirements related to healthcare operations.
- Assist in ensuring that the clinic is compliant with health and safety regulations, including infection control and sanitation protocols.
Education:
- High School Diploma or equivalent (required).
- An Associate’s or Bachelor’s degree in Healthcare Administration, Medical Assisting, or related field is preferred.
- Certification in Medical Billing & Coding or other relevant certifications is a plus.
Experience:
- At least 1-2 years of experience in a medical office, clinic, or healthcare setting (preferred).
- Experience with patient scheduling, billing, and insurance processing is highly desirable.
- Fresh graduates with relevant coursework are also welcome to apply.
