Job summary

Robinsons Land Corp’s Events department is seeking a proactive professional on probationary terms to drive social event sales, manage client relations, and coordinate end-to-end event delivery.

You will identify potential clients, conduct site visits, tailor proposals, and oversee logistics with kitchen, AV, and service teams to ensure memorable events while meeting revenue targets.

Responsibilities

• Identifies and targets potential clients for social events through proactive outreach, networking, and marketing efforts.
• Builds and maintains a robust pipeline of leads, inquiries, and bookings to achieve sales targets and maximize revenue from social event bookings.
• Conducts consultations and site visits with prospective clients to showcase event spaces, discuss their vision and requirements, and tailor proposals to meet their needs.
• Serves as the main point of contact for clients throughout the event planning process, providing personalized service, timely communication, and expert guidance.
• Builds strong relationships with clients by understanding their preferences, addressing their concerns, and exceeding their expectations to foster loyalty and repeat business.
• Collaborates with clients to create custom event packages, including venue rental, catering menus, décor, and entertainment options, ensuring a memorable and unique experience for each event.
• Works closely with internal departments to coordinate all aspects of social event logistics and ensure seamless execution.
• Develops detailed event timelines and production schedules, coordinates vendor contracts and payments, and manages event budgets to ensure profitability and cost-effectiveness.
• Oversees event setup, including room layout, décor installation, audiovisual setup, and food and beverage service, to ensure all elements are executed according to the client’s specifications.
• Collaborates with the hotel's marketing team to develop promotional materials, including brochures, website content, and social media campaigns, to attract social event clients and showcase the hotel's offerings.
• Partners with the Kitchen team to create innovative and customizable menu options that cater to the preferences and dietary requirements of social event guests.
• Coordinates with the hotel's event operations team to ensure seamless handover of event details and requirements, providing clear instructions and documentation to facilitate successful event execution.
• Monitors sales performance, booking trends, and revenue forecasts to track progress against targets and identify opportunities for growth and improvement.
• Maintains accurate records of client interactions, event details, contracts, and payments using the hotel's system, ensuring data integrity and compliance with company policies and procedures.
• Prepares regular reports and presentations for senior management, highlighting key performance metrics, market trends, and strategic recommendations to drive business growth.
• Prepares draft/Pre-function Order form of the Event Contract and endorses it to the Event Coordinator for the preparation of the Event Contract form order.

• Requests prior approval from the Credit and Collection of the Finance Department for the client’s payment term that is consistent with the hotel’s credit policies.
• Endorses client’s special request (e.g., menu items, banquet set-up, etc.) to the authorized personnel concerned (e.g., F & B Director, F & B Service Manager, etc.) for prior approval before committing these to the client.
• Explains to clients all event policies and provisions indicated in the Event Contract to ensure that the function will be held smoothly and problems/complaints will be avoided.
• Secures client’s signature on the Event Contract and requires a downpayment upon signing the contract.
• Spot–checks actual event functions of clients to ensure that all requirements are served and that any additional requests or problems encountered are immediately attended to.
• Investigates client’s complaints on food & beverage served, event facilities or service and informs the department concerned for remedial action; elevates major problems/complaints to superiors for appropriate action.
• Notes down client’s comments or suggestions and endorses them to superiors, recommending specific action plans and sales strategies to increase event bookings.
• Complies with all established hotel policies and procedures on event function rooms, outlets, and room bookings. Informs clients of hotel policies on booking requirements (i.e., Reservation fee, confirmation letter, option date, etc.) to avoid future problems.
• Prepares and submits to superior the following reports:
  • Daily Activity Report
  • Weekly Production Report
  • Month-End Report
• Attends and participates in the daily morning briefing, monthly Sales meeting, and other meetings where presence is required.
• Follows the established activity chart which shows a summary of upcoming sales and promotions activities to be undertaken by the department.
• Coordinates with the Event Coordinator/designated alternative regarding the pre-blocking of reserved function rooms.
• Demonstrates awareness of OH&S policies and procedures and ensures all procedures are conducted safely and within OH&S guidelines.
• Be aware of duty of care and adhere to occupational, health and safety legislation, policies and procedures.
• Be familiar with property safety, first aid, and fire and emergency procedures and operate equipment safely and sensibly.
• Initiates action to correct a hazardous situation and notifies superiors of potential dangers and appropriate action.
• Strives to achieve her target production/sales assigned by superiors, recommending specific action plans and sales strategies to increase event bookings.
