Responsibilities

  • Process new and renewal applications for Business Permits (LGU transactions).
  • Secure Mayor's Permits, Barangay Clearances, occupancy permits, and other LGU certificates.
  • Coordinate with City/Municipal Hall and other local offices for permits, fees, inspections, and compliance.
  • Monitor permit expiration dates and ensure timely renewals.
  • Coordinate inspections, assessments, and documentary requirements for permit issuance/renewal.
  • Maintain an updated monitoring system for permit validity and deadlines.
  • Process BIR registrations, updates, and closures; apply for ATP and Books of Accounts registration.
  • Secure Tax Clearance and BIR certifications; file and submit documentary requirements.
  • Coordinate with BIR personnel on tax-related applications and compliance.
  • Process applications, renewals, and updates with government agencies (SEC, DTI, SSS, PhilHealth, Pag-IBIG, DOLE).
  • Secure permits, licenses, clearances, and certifications for operations.
  • Coordinate with regulators to ensure compliance with laws.

JOB SUMMARY

The Liaison Clerk is responsible for processing and facilitating permits, licenses, government registrations, and other documentary requirements with various government agencies and financial institutions. The role ensures timely submission, renewal, and compliance with all regulatory requirements while maintaining good working relationships with government offices, banks, and regulatory agencies.

DUTIES & RESPONSIBILITIES

LGU Transactions

Process new and renewal applications for Business Permits.

Secure and renew Mayor's Permits, Barangay Clearances, occupancy permits, and other LGU-required certificates.

Coordinate with City/Municipal Hall and other local government offices regarding permits, fees, inspections, and compliance requirements.

Monitor permit expiration dates and ensure timely renewals.

Coordinate inspections, assessments, and documentary requirements necessary for permit issuance and renewal.

Maintain an updated monitoring system for permit validity, renewal schedules, and compliance deadlines.

BIR Transactions

Process BIR registrations, updates, and closures, as applicable.

Apply for and renew Authority to Print (ATP), Books of Accounts registration, and other BIR requirements.

Secure Tax Clearance, Certificate of Registration (BIR Form 2303), and other BIR certifications.

File and submit documentary requirements requested by the BIR.

Coordinate with BIR personnel regarding tax-related applications and compliance.

Government Agency Transactions

Process applications, renewals, and updates with government agencies such as SEC, DTI, SSS, PhilHealth, Pag-IBIG, DOLE, and other regulatory offices, as required.

Secure permits, licenses, clearances, and certifications necessary for company operations.

Coordinate with regulatory agencies to ensure compliance with applicable laws and regulations.

Bank Transactions

Perform authorized bank errands, including deposits, withdrawals, check encashment, check pickup, manager's check requests, and other banking transactions.

Process bank account documentation and coordinate with bank representatives regarding company requirements.

Ensure the safe handling and confidentiality of company funds and financial documents.

Administrative Duties

Prepare, organize, and maintain records of permits, licenses, certificates, official receipts, and other regulatory documents.

Track renewal schedules and provide advance reminders to management to avoid lapses in compliance.

Prepare status reports on pending and completed applications.

Coordinate with internal departments regarding documentary and compliance requirements.

Maintain good working relationships with government agencies, banks, and external stakeholders.

Perform other liaison and administrative duties assigned by management.

QUALIFICATIONS

Bachelor's degree in Business Administration, Management, Office Administration, Public Administration, Accounting, or any related field

At least 1–2 years of experience in liaison work involving LGU transactions, BIR, government agencies, and banking transactions.

Knowledge of Philippine business registration, licensing, permit renewal, and regulatory compliance procedures.

Familiarity with BIR forms and government documentary requirements.

Strong organizational, communication, and interpersonal skills.

Proficient in Microsoft Office applications (Word, Excel, Outlook).

Honest, trustworthy, detail-oriented, and able to work independently.

Willing to travel frequently to government offices, banks, and other institutions
