Hexagon Shared Services Inc in Balagtas, Bulacan is seeking an Inventory Control Officer to safeguard 100% stock accuracy in our cold storage operations. The ICO will manage FIFO/FEFO, batch control, expiry management, and WMS-driven scanning to ensure traceability and documentation integrity.
You will maintain real-time inventory records in Chronos WMS, perform cycle counts, investigate variances, and coordinate with QA for hold or quarantine stock, while supporting audits and KPI reporting.
The Inventory Control Officer (ICO) is responsible for ensuring 100% stock accuracy, traceability, and documentation integrity for all frozen/chilled inventory inside the cold storage facility. The role safeguards temperature-controlled inventory, enforcing FIFO/FEFO, batch control, expiry management, and WMS-driven scanning processes.

Chronos WMS accuracy
NMIS,BPI, BFAR product documentation & traceability
Customer contract requirements
DENR & DOLE operational guidelines
Maintain real-time and accurate inventory records in Chronos WMS.
Conduct cycle counts, blind counts, slot checks and wall-to-wall inventories.
Investigate variances and implement Corrective & Preventive Actions (CAPA).
Validate stock movement documents: MIC, COMI, GRN, pick tickets, returns.
Ensure correct slotting, pallet IDs, batch, and expiry information.
Enforce proper picking sequence based on expiry and production dates.
Monitor product condition: packaging integrity, labeling, pallet condition.
Coordinate with QA for quality issues and stock segregation (hold/quarantine).
Maintain traceability records for NMIS/BFAR inspections and customer audits.
Ensure accurate utilization of controlled forms: Stock Count Sheets, Hold/Disposition Forms, Variance Reports, Inventory Summary Sheets.
Support internal/external audits by presenting updated inventory records.
Maintain Inventory KPI dashboard & report discrepancies to Warehouse Manager.
Manage system-driven stock allocation, ensuring WMS selects inventory based on: FEFO/FIFO, Batch & expiry rules, Storage zone requirements (chiller vs. freezer), Weight and truck load optimization
Validate pallet availability and inventory staging plans before picking tasks are released.
Monitor allocation exceptions, such as: Discrepancies in reserved vs. available inventory, Product under QA hold or quarantine, and Damaged packaging requiring segregation
Re-allocate stocks when customer order changes occur (rush orders, rejects, urgency).
Coordinate with Sales/Customer Service for allocation conflicts or insufficient inventory.
Assign picking tasks strategically to optimize picker routes and minimize cold room exposure time.
Prioritize tasks based on truck departure schedule and loading dock availability.
Monitor real-time picking performance through WMS Task Dashboard and correct delays immediately.
Validate and approve re-picks, replenishment triggers, and pick path deviations.
Coordinate with Warehouse Operations Manager on: Picker manpower deployment, Congestion prevention in aisles, and Safe operation inside cold rooms
Maintain traffic flow balance across all cold rooms to avoid productivity bottlenecks.
Ensure correct staging and sequencing of orders for loading operations.
The Inventory Control Officer shall act as primary process owner for WMS accuracy within

Ensure 100% WMS compliance for ALL inventory movements and scanning activities.
Validate system task completion, accuracy of pallet ID creation, lot codes, expiry dates, and storage location data.
Monitor real-time inventory dashboards and ensure zero pending tasks older than 24 hours.
Conduct WMS operational audits and correct users not following scanning discipline.
Perform root cause analysis of WMS discrepancies vs. physical inventory.
Manage product master data requests and coordinate changes with IT/WMS Admin.
Maintain Slotting Master List — ensuring the WMS location management reflects the physical racking.
Conduct troubleshooting for: Incorrect scanning, Frozen tasks, Mapping errors, Duplicate pallet IDs, and Wrong lot or expiry encoding
Serve as WMS Super User during new process rollouts, upgrades, and version enhancements.
Lead user coaching/training on correct WMS usage for Warehouse Supervisors, Pickers, and Receiving staff.
Ensure WMS data integrity always meets reporting requirements for Finance billing and QA traceability.
Coordinate with IT to document and elevate system issues with vendors (Chrono).
Lead pre- and post- implementation validation testing (UAT) for all workflow changes.
Validate scanning compliance in every movement: Receiving, Put-away, Picking, Offloading, Stock transfers, andAdjustments
Coordinate with IT/WMS Admin for system issues, mapping errors, or data cleanup
Work with Customer Service on stock availability and order fulfillment accuracy.
Support Finance for billing validation (pallet on-hand vs. billed pallets).
Coordinate with Engineering for racks and storage-related issues affecting stock.
Follow cold room safety protocols and PPE requirements.
Ensure zero product contamination during inspections and counts.
Participate in emergency drills and hazard reporting.
Bachelor’s Degree in Industrial Engineering, Business, Supply Chain, or related course.
2–4 years inventory operations experience (preferably in cold storage, logistics, FMCG).
Hands-on knowledge in WMS/ERP systems.
Understanding of FIFO/FEFO, lot coding, MIC/COMI documentation.
