Inventory Clerk Duties & Roles
Core Duties & Responsibilities
Inventory Management
- Receive, record, and verify deliveries.
- Track, log, and update inventory levels in the system.
- Conduct regular physical stock counts and reconcile with system records.
- Organize and maintain storage areas for easy access and safety.
Documentation & Reporting
- Prepare inventory reports daily weekly monthly.
- Update purchase orders, invoices, and delivery receipts.
- Flag discrepancies between physical stock and system records.
Stock Control
- Monitor stock movements and maintain accurate records.
- Identify slow-moving, fast-moving, or obsolete items.
- Assist in implementing stock rotation
Coordination
- Coordinate with purchasing and warehouse teams regarding stock replenishment.
- Assist in audits internal/external.
- Support other departments with inventory-related queries.
Roles in the Organization
- Acts as the first point of control for goods received and released.
- Serves as the gatekeeper of inventory accuracy for the company.
- Provides data support for purchasing decisions.
- Ensures compliance with company policies on inventory handling and documentation.

Inventory Accuracy
- Accuracy between physical stock count and system records
Stock Reconciliation Timeliness
- Average time taken to resolve stock discrepancies
Order Fulfillment Accuracy
- orders prepared with correct items and quantities
Shrinkage/Variance Control
- education in inventory losses due to theft, damage, or mismanagement.
Cycle Count/Stock Audit Completion Rate
- scheduled counts completed on time.
Documentation Accuracy
- Error rate in receiving logs, stock cards, and system entries
Stock Availability Out-of-Stock Rate
- critical items available when needed vs. stockouts
Efficiency in Processing
- Average time taken to record new deliveries and update system
