Private Advertiser is seeking an Import & Export Document Processor to manage end-to-end documentation for international shipments. You will coordinate with suppliers, freight forwarders, customs brokers, and internal teams to ensure compliant, cost-efficient, and timely delivery of goods.
You will prepare shipping documents, review rates, estimate duties and taxes, monitor shipments, and resolve any documentation issues.
TheImport & Export Document Processoris responsible for the end-to-end documentation, coordination, and monitoring of the Company's import and export transactions. The role serves as the Company’sin-house focal person for import and export shipments, coordinating with suppliers, freight forwarders, customs brokers, logistics providers, and internal departments to ensure that shipments are properly documented, cost-efficient, compliant, and delivered according to schedule. The position is responsible for preparing and reviewing shipping documents, obtaining and comparing freight and forwarding rates, computing estimated taxes and duties, monitoring shipments, resolving documentation and logistics concerns, and coordinating or negotiating with external service providers to facilitate the successful release and delivery of goods.
Prepare, review, and organize import and export documents, including invoices, packing lists, bills of lading/airway bills, permits, certificates, and other required shipping documents.
Ensure completeness and accuracy of documents before shipment processing.
Maintain organized hard copy and digital records of all import and export transactions.
Coordinate with suppliers and service providers regarding missing, incomplete, or incorrect documents.
Coordinate with suppliers, freight forwarders, customs brokers, and logistics providers from shipment preparation until delivery.
Monitor shipment status, schedules, arrival dates, customs clearance, and delivery.
Track shipments and provide timely updates to concerned departments.
Coordinate delivery arrangements and ensure shipments arrive at the designated location on schedule.
Source freight forwarders, brokers, and logistics service providers as needed.
Request and compare freight, forwarding, brokerage, and related service rates.
Evaluate quotations based on cost, service quality, lead time, and reliability.
Coordinate with accredited service providers regarding shipment requirements and rates.
Prepare estimated computations for customs duties, taxes, freight, brokerage, and other shipment-related costs.
Review billing and charges from forwarders, brokers, and logistics providers.
Monitor shipment expenses and identify opportunities for cost savings.
Coordinate with Finance and Accounting regarding import/export-related payments and documentation.
Identify and address delays, documentation discrepancies, customs concerns, damaged or missing shipments, and other logistics issues.
Coordinate with relevant parties to resolve shipment concerns promptly.
Escalate critical issues that may affect shipment schedules, costs, or operations.
Maintain proper documentation of shipment issues and their resolutions.
Ensure import and export transactions comply with applicable customs, government, and regulatory requirements.
Coordinate with customs brokers and relevant government agencies when necessary.
Monitor required permits, licenses, clearances, and supporting documents.
Stay updated on relevant import/export procedures, requirements, and regulatory changes.
Support the Company during audits, inspections, and regulatory inquiries related to import/export transactions.
Coordinate with Procurement, Finance, Warehouse, Logistics, Production, and other departments regarding import/export requirements.
Provide regular updates on shipment status, expected arrival dates, costs, and potential delays.
Ensure concerned departments are informed of documentation and shipment requirements.
Perform other related duties and responsibilities as may be assigned by management.
Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, Customs Administration, or a related field.
At least 1–2 years of experience in import/export, logistics, shipping, customs documentation, or a related role.
Knowledge of import/export documentation and shipment processes.
Familiarity with customs procedures, freight forwarding, and logistics coordination is an advantage.
Strong organizational and documentation skills.
Good communication and coordination skills.
Detail-oriented and able to manage multiple shipments and deadlines.
Proficient in Microsoft Office, particularly Excel.
Able to coordinate effectively with suppliers, brokers, forwarders, and internal teams.
Willing to work in a fast-paced brewery/manufacturing environment.
