Qualifications

• Minimum of 5 years of experience in operations, project management, executive support, or a related field
• Exceptional organizational skills with solid attention to detail
• Strong judgment and the ability to work smart and independently
• Ability to move fast without sacrificing accuracy in a fast-paced environment
• Excellent communication, collaboration, and problem-solving abilities
• Proficiency, speed, and accuracy in written communication
• Fluent, clear, and well-articulated in English
• Strong time management skills and the ability to manage multiple tasks simultaneously
• Familiarity with compliance or regulatory operations is a plus
• Flexibility to work US Pacific Time hours (8 AM to 5 PM) with a one-hour break
• Must be presently residing in the Philippines

Responsibilities

• Providing direct operational and administrative support to senior leaders (L4s), functioning as an extension of their workflow
• Organizing and driving Quarterly Updates (QUs), Team meetings, and other recurring leadership touchpoints
• Managing day-to-day operational tasks with speed and accuracy, adapting quickly as priorities shift
• Tracking and documenting issues, tasks, and projects through to completion, ensuring nothing falls through the cracks
• Assisting in developing and implementing operational processes to enhance efficiency and productivity
• Itemizing, reviewing, and tracking tasks or projects to ensure ongoing updates and progress. Able to get a project done end-to-end
• Working closely with team members across multiple departments, including Compliance, to ensure smooth operations and effective communication
• Facilitating discussions to address operational issues and providing updates on project progress
• Serving as a reliable point of contact for operational inquiries and issue resolution
• Helping maintain visibility into compliance-related action items and following up with stakeholders to keep them on track
