About the Role
The HR Project Manager will lead HR transformation initiatives focused on HRIS implementation, process automation, digitalization, and continuous process improvement.
This role will transform manual and fragmented HR processes into efficient, standardized, and technology-enabled workflows. The HR Project Manager will work closely with HR Leadership, the HR Admin Supervisor and team, IT, Finance, Operations, and external technology partners to deliver solutions that improve efficiency, scalability, data accuracy, and employee experience.
This role is not responsible for the day-to-day management of HR Administration, but rather a complementary position that focuses on improving the systems, processes, and technology that enable HR operations.
Responsibilities
HRIS Implementation & Transformation
- Lead the end-to-end implementation of the company’s new HRIS, from requirements gathering through configuration, testing, deployment, and post-launch optimization
- Develop and manage the HRIS implementation roadmap, timelines, milestones, risks, and deliverables
- Gather HR and business requirements and translate them into practical system solutions
- Partner with HR, IT, HRIS vendors, and stakeholders throughout implementation
- Lead system testing, UAT, issue tracking, data validation, and implementation readiness
- Coordinate data migration, system integrations, and workflow configuration
- Develop system documentation, user guides, process maps, and training materials
- Identify opportunities for ongoing HRIS improvement following implementation
HR Process Automation & Digitalization
- Identify manual, repetitive, and inefficient HR processes that can be automated, simplified, or eliminated
- Lead automation initiatives across HR processes, including onboarding, employee movements, approvals, documentation, employee records, and reporting
- Design scalable digital workflows that reduce manual work, processing time, and errors
- Partner with IT and technology vendors to implement workflow automation, integrations, APIs, and other digital solutions
- Evaluate opportunities to use low-code/no-code platforms and other technologies to improve HR service delivery
- Measure the impact of automation through efficiency, turnaround time, accuracy, and user experience
HR Process Improvement
- Review and map existing HR processes to identify bottlenecks, duplication, manual work, and control gaps
- Lead process redesign and standardization initiatives
- Develop and maintain process maps, SOPs, workflows, and process ownership models
- Work closely with the HR Admin Supervisor and team to understand operational pain points and identify improvement opportunities
- Establish appropriate SLAs, approval workflows, and process controls
- Conduct post-implementation reviews and recommend further improvements
HR Project Management
- Manage HR transformation projects from initiation through completion, including scope, timelines, resources, risks, dependencies, and deliverables
- Develop project plans, milestones, action items, and documentation
- Monitor project progress and proactively address risks, delays, and dependenciesProvide regular project updates and recommendations to HR Leadership
- Coordinate cross-functional stakeholders and ensure clear accountability for deliverables
- Manage multiple projects and prioritize initiatives based on business impact
- Conduct project closeout and post-implementation reviews
Change Management & User Adoption
- Develop change management plans for new HR systems, processes, and workflows
- Coordinate communication, training, and rollout activities
- Support HR teams during the transition from manual or legacy processes to automated solutions
- Monitor adoption and identify barriers to successful implementation
- Gather user feedback and incorporate improvements into future system and process enhancements
HR Data, Reporting & Analytics
- Partner with HR and IT to improve HR data quality, governance, and integrity
- Identify opportunities to automate recurring HR reports and eliminate manual data consolidation
- Develop or coordinate HR dashboards and reports that support management decision-making
- Ensure HRIS reporting meets operational and business requirements
- Recommend improvements to HR data collection, validation, and reporting
Stakeholder & Vendor Management
- Serve as the primary project contact for HRIS implementation and HR transformation initiatives
- Partner with HR Admin, HR Business Partners, Talent Acquisition, Learning & Development, Finance, IT, and Operations as required
- Manage relationships with HRIS providers, technology vendors, and implementation partners
- Monitor vendor deliverables, timelines, issues, and agreed service levels
- Facilitate project meetings and ensure accountability for actions and deliverables
- Translate technical requirements into practical business solutions for HR stakeholders
Requirements
- Bachelor’s degree in HR, Business, Information Systems, Project Management, or a related field
- 3–5 years of relevant experience in HR project management, HRIS, HR technology, process improvement, or digital transformation
- Proven experience leading HRIS implementation or HR technology projects from requirements gathering through implementation
- Hands‑on experience in HR process automation, digital transformation, and process redesign
- Experience with HR workflows, system integrations, data migration, system testing/UAT, and change management
- Experience managing HRIS vendors, technology partners, and cross-functional projects involving HR, IT, Finance, Operations, or other business functions
- Strong understanding of HR processes and the employee lifecycle, with the ability to translate business needs into practical technology and process solutions
- Strong project management, analytical, problem-solving, communication, and stakeholder management skills
Preferred Qualifications
- Experience in a BPO, shared services, or high-volume operational environment
- Lean Six Sigma certification or demonstrated experience applying process improvement methodologies
- PMP, PRINCE2, CAPM, or equivalent project management certification
- Experience with APIs, system integrations, workflow automation, or low-code/no-code platforms
