Job Description
A newly established company in the online travel and tourism industry is looking for an HR & Admin Officer.
This position will support the company’s human resources, administration, compliance, and office management functions.
Key responsibilities include employee documentation, recruitment support, onboarding support, government-related matters, office management, communication with business partners and external service providers, and other general administrative tasks.
This role is suitable for someone who is organized, detail-oriented, proactive, and able to adapt to the environment of a newly established company.
Key Responsibilities
1. Human Resources
- Support the recruitment process, including job posting, applicant screening, interview scheduling, and candidate communication.
- Assist with onboarding and offboarding processes, including preparation of employment contracts, employee information forms, company forms, clearance documents, and final clearance-related documents.
- Maintain updated employee 201 files, employment contracts, attendance records, leave records, and other HR-related documents.
- Monitor employee attendance, leave applications, work schedules, and other HR-related records.
- Compile and provide employee-related information required for payroll computation, such as attendance, absences, leaves, overtime, allowances, and other employee updates.
- Support the implementation and monitoring of company policies, HR procedures, employee guidelines, and internal announcements.
- Support employee relations matters, including employee inquiries, documentation, and communication between employees and management.
2. Government Compliance and Statutory Benefits
- Assist in the processing, filing, submission, and monitoring of applications and documents related to SSS, PhilHealth, Pag-IBIG, BIR, DOLE, LGU, and other relevant government agencies.
- Support employee registration, information updates, and statutory benefits documentation.
- Monitor deadlines related to government filings, permits, registrations, and compliance requirements, and maintain related records.
- Communicate with external accounting firms, law firms, consultants, and government agencies when necessary.
- Organize and maintain corporate documents, government‑issued certificates, permits, tax registration documents, and other official records.
3. General Administration and Office Management
- Handle day-to-day office administrative tasks and provide general administrative support to management and employees.
- Monitor office supplies, office equipment, pantry supplies, and other administrative needs.
- Support quotation requests, comparison, purchasing, and communication with external service providers for office supplies, equipment, and services.
- Assist with office setup, facilities management, maintenance requests, and communication with building administration.
- Organize and maintain documents related to office expenses, purchases, contracts, quotations, and service providers.
- Coordinate matters related to corporate mobile phones, internet, office equipment, business cards, corporate accounts, and other administrative requirements.
4. Travel Industry / Online Travel Agency Operational Support
- Support administrative and communication tasks related to the operation of the online travel agency.
- Support internal communication and coordination among the operations, accounting, IT, and management teams.
- Organize and maintain administrative documents related to suppliers, vendors, travel partners, and service providers.
- Assist in preparing trackers, progress updates, reports, and documents related to business operations.
- Communicate with internal and external parties regarding operational requests, documents, and follow‑up matters.
5. General Coordination and Reporting
- Prepare simple reports, trackers, meeting minutes, and progress update materials.
- Support meeting scheduling, meeting preparation, and preparation of related documents.
- Provide administrative support to management in relation to company setup, operational readiness, and daily business activities.
- Perform other HR, administrative, and coordination‑related duties as needed.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Public Administration, or any related field.
- Must be able to communicate effectively in English, as the position requires working closely with Korean management.
- At least 2–3 years of experience in HR, general administration, office administration, or office support.
- Experience working in a travel agency, online travel agency, tourism, service industry, or startup environment is an advantage.
- Basic knowledge of Philippine labor laws, employee documentation, statutory benefits, and government compliance is preferred.
- Experience handling SSS, PhilHealth, Pag-IBIG, BIR, DOLE, LGU, or business permit‑related matters is an advantage.
- Proficient in Microsoft Office and/or Google Workspace.
- Good communication, coordination, and documentation skills.
- Organized, detail‑oriented, responsible, and able to handle confidential information with discretion.
- Able to work independently, continuously follow up on pending matters, and manage multiple tasks at the same time.
- Willing to handle both human resources and general administrative responsibilities.
Preferred Qualifications
- Experience supporting the setup of a newly established company, new branch, or startup.
- Experience compiling payroll‑related data and managing employee benefits.
- Ability to prepare reports, trackers, internal memos, and basic business documents.
- Experience communicating with external service providers, government agencies, building administration, and other service providers.
- Experience in the travel, tourism, online travel agency, hotel, or service industry.
