Job summary

Snapscale is seeking a highly technical Healthcare Virtual Assistant (HVA) to support a US-based Direct Primary Care and Women's Health practice. The role centers on migrating EHR systems, configuring prescribing and lab portals, and supporting back-office CRM operations.

The ideal candidate will navigate complex healthcare technology stacks (Hint Clinical, Health Gorilla, DoseSpot) with HIPAA discipline, and collaborate with clinicians to maintain accurate data and secure communications.

Qualifications

• Experience with US healthcare administration and medical records management.
• Familiarity with EMR/EHR platforms (Hint Clinical, Charm EHR, Health Gorilla, DoseSpot, Fullscript, Spruce).
• Proficiency with Google Workspace and CRM platforms.
• Strong analytical, data reconciliation, and problem-solving skills.
• Knowledge of HIPAA and clear clinical vs. administrative boundaries.
• Excellent written and verbal English communication.

Responsibilities

• Coordinate and finalize the EHR migration from Charm EHR to Hint Clinical.
• Update fax destinations across lab, imaging, and pharmacy portals.
• Configure lab Quick Picks and supplement catalog structures in Hint Clinical and Fullscript.
• Populate patient insurance details in Health Gorilla, Labcorp, and Quest portals.
• Assist with DoseSpot prescribing favorites setup and flag allergy discrepancies.
• Prepare provider schedules, daily patient agendas, and manage secure patient messaging workflows in Spruce.
• Maintain system checklists, logs, and audit trails.
