Do you excel at catching errors before they become significant issues and thrive on accountability?

Can you transform operational chaos into well-oiled efficiency with minimal supervision?

Is your problem-solving proactive and innovative, capturing missed opportunities for improvement?

Final question: When faced with a challenge, do you get excited or run away?

Founded in 2014, BBA Law has become a trusted name for families across Michigan, offering comprehensive legal services tailored to estate planning, probate, elder law, divorce, and family law. Our mission of protecting what matters most, your family, your life, and your legacy, is at the heart of everything we do. With offices strategically located throughout Michigan, we ensure accessibility and quality representation for our clients.

BBA Law is renowned for its forward-thinking approach, which anticipates legal challenges and implements proactive strategies. We are dedicated to excellence, raising the bar in legal advocacy through strategic preparation and accountability. Our personalized approach means that each client receives tailored solutions that reflect their unique circumstances, ensuring peace of mind and security in life's most important aspects.

The Firm Administrator at BBA Law is a newly created role that aims to streamline operations, allowing firm leadership to focus on growth and client advocacy. As the operational right hand, you will have a direct impact on improving efficiencies and ensuring the smooth functioning of firm operations, all while supporting the firm's mission of delivering superior legal solutions to Michigan families.

What you’ll do:
  • Billing and Financial Oversight: Own key aspects of the billing cycle by reviewing time entries for accuracy, capturing billable activities and expenses, preparing invoices, and maintaining consistent accounts receivable follow-up.
  • Operational Compliance: Monitor day-to-day staff activity and matter workflows, catching errors, missing information, and incomplete steps before they become larger operational issues.
  • Lead and CRM Management: Ensure leads are accurately captured, properly tracked, and followed up on promptly, while maintaining clean CRM data and identifying opportunities to improve the intake process.
  • Administrative Support: Serve as an operational extension of firm leadership, coordinating administrative priorities, supporting key workflows, and ensuring important follow-up does not fall through the cracks.
  • Process Development: Build and maintain practical SOPs and repeatable processes that improve consistency, accountability, and efficiency across the firm.
What we’re looking for:
  • Law Firm Experience: Experience in law firm operations, billing, bookkeeping, or office management is preferred, with an understanding of legal workflows being a strong advantage.
  • Technology Proficiency: Comfortable working in Clio or similar practice management software, CRM systems, spreadsheets, and reporting tools, with the ability to learn new systems quickly.
  • Organizational Skills: Exceptional attention to detail with the ability to stay on top of multiple workflows, catch inconsistencies, and follow through without frequent reminders.
  • Communication Skills: Clear and professional written and spoken English, with confidence communicating with staff, clients, vendors, and insurance providers.
  • Proactive Problem Solver: Able to spot issues before they become larger problems, take initiative, and find solutions independently without requiring constant direction.
  • Remote Work Readiness & Reliability: Ability to work U.S. hours, with reliable access to necessary technology and demonstrated success working independently in a remote, structured work setting.
Why you should work here:
  • Impactful Role: For someone who thrives on making things work better, this role offers the opportunity to create meaningful improvements that will be felt across the firm as it continues to grow.
  • Autonomous Environment: Ideal for someone who does their best work with trust and independence, this role offers meaningful ownership and the freedom to drive results without constant oversight.
  • Leadership Exposure: Work closely with firm leadership in a highly visible role, gaining firsthand exposure to the priorities, challenges, and day-to-day operations of a growing law firm.
  • Growth Opportunity: As the firm continues to scale, this role offers the opportunity to expand your impact and take on broader operational responsibilities in a larger operational role.

Join BBA Law as the Firm Administrator and be at the forefront of operational excellence and client service. If you are ready to apply your skills in a dynamic, impactful role and facilitate the growth of a leading Michigan law firm, we invite you to apply and become an integral part of our dedicated team.
