Job Description

We are seeking a highly organised, proactive, and detail-oriented Legal Administrative Assistant / Paralegal to join our growing team. This role is ideal for someone with prior legal admin or paralegal experience, preferably in family law, who thrives in a fast-paced environment and takes ownership of their work.

This is not a role for someone looking to coast or be heavily managed. We are looking for a motivated professional who takes pride in their work, exercises sound judgment, and consistently delivers high-quality results.

Key Responsibilities
  • Take ownership of assigned matters and maintain a strong working knowledge of each file, including prior correspondence, court events, billing history, and upcoming deadlines.
  • Prepare and update chronologies, summaries, and draft documents by reviewing the full file history and accurately tailoring precedents to the client’s matter.
  • Apply judgment and lateral thinking when progressing tasks, identifying what has been done, what is outstanding, and what should occur next.
  • Manage client intake, file setup, and ongoing file organisation in Smokeball.
  • Draft correspondence and court documents with accuracy and efficiency, anticipating follow-up steps and minimising rework.
  • Electronically file documents via Commonwealth Court Portals in accordance with court requirements.
  • Proactively manage billing and trust-related tasks on assigned files, including checking trust balances, invoices, and prior correspondence, and preparing or initiating client follow-up where required.
  • Break down large tasks into manageable steps, plan work effectively, and manage diary commitments to meet deadlines.
  • Take and action verbal instructions effectively, clarifying where needed and independently managing task execution.
  • Prepare briefs to counsel, ensuring documents are complete, well-organised, and current.
  • Conduct legal research and summarise key issues clearly and concisely.
  • Progress matters with an anticipatory mindset, identifying risks, dependencies, and upcoming steps early.
  • Support firm initiatives, including content and blog drafting where appropriate.
Requirements
  • Prior legal administrative or paralegal experience (family law preferred).
