Provenance Distributions Inc. is seeking a hands-on Finance Executive to manage daily accounting and finance operations in the Philippines.
You will oversee bookkeeping, AP/AR, payroll, bank reconciliations, and month-end closing, while ensuring regulatory compliance and accurate financial reporting. The role requires 3–5 years of progressive finance experience, strong Excel/Sheets skills, and familiarity with Philippine tax requirements.
We are looking for an experienced, trustworthy, and highly organized Finance Executive. Philippines to manage the day-to-day finance and accounting operations of our Philippine business.
This is a hands‑on, full-cycle finance role covering bookkeeping, Accounts Payable, Accounts Receivable, invoicing, collections, bank reconciliation, supplier payments, payroll disbursement, petty cash, cash management, financial reporting, and month‑end closing.
The Finance Executive will maintain the company's financial records internally using Zoho Books and work closely with our retained external accountant for Philippine tax, BIR, SEC, and other statutory compliance requirements.
The successful candidate must understand the complete financial and accounting lifecycle of a business operating in the Philippines and demonstrate a high level of accuracy, integrity, confidentiality, and financial discipline.
General Accounting & Bookkeeping
Manage day-to-day bookkeeping and maintain accurate and complete accounting records.
Maintain the General Ledger and applicable subsidiary ledgers.
Record and classify revenue, expenses, assets, liabilities, and other financial transactions.
Prepare journal entries, accruals, adjustments, prepayments, and other accounting entries.
Ensure transactions are supported by complete documentation and appropriate approvals.
Perform monthly and year‑end closing activities and maintain audit‑ready records.
Accounts Payable & Supplier Payments
Manage the complete AP process from supplier invoice receipt through approved payment.
Validate invoices against purchase orders, delivery documentation, approvals, and other supporting records.
Maintain AP aging and monitor upcoming payment obligations.
Prepare supplier payment schedules and facilitate approved disbursements.
Reconcile supplier statements and resolve discrepancies.
Maintain complete and traceable documentation for company payments.
Accounts Receivable, Billing & Collections
Prepare and submit accurate client invoices and required supporting documentation.
Maintain AR aging and monitor payment due dates.
Follow up on outstanding collections and resolve billing discrepancies.
Record customer payments and reconcile receipts against outstanding invoices.
Maintain visibility of billed, unbilled, collected, outstanding, and overdue receivables.
Provide regular AR and collection reports to management.
Cash Management, Petty Cash & Disbursements
Monitor company bank balances, cash position, and upcoming financial obligations.
Prepare cash‑position and cash‑flow reports.
Facilitate approved supplier and company payments.
Administer petty cash and procurement‑related cash advances.
Review receipts, employee reimbursements, expense claims, and liquidation reports.
Monitor outstanding cash advances and ensure timely liquidation.
Maintain appropriate controls and documentation for all company disbursements.
Payroll Review & Salary Disbursement
Work closely with HR to complete each Philippine payroll cycle.
Review payroll registers, deductions, statutory contributions, and supporting schedules prepared by HR.
Prepare payroll funding requirements for management approval.
Facilitate approved salary disbursements through authorized company banking channels.
Coordinate payment of statutory contributions and payroll‑related obligations.
Record payroll transactions and liabilities accurately in the accounting system.
Reconcile salary and statutory payments against approved payroll schedules.
Bank & Account Reconciliation
Perform regular bank reconciliations.
Reconcile AP, AR, payroll liabilities, petty cash, employee advances, supplier balances, and other Balance Sheet accounts.
Investigate discrepancies and ensure corrective entries are properly documented.
Maintain reconciliation schedules and resolve outstanding items on a timely basis.
Financial Reporting
Prepare monthly financial and management reports.
Prepare Trial Balance, Profit & Loss / Income Statement, Balance Sheet, cash‑flow information, and supporting schedules.
Support month‑end and year‑end closing.
Provide management with visibility of revenue, expenses, profitability, cash position, receivables, and payables.
Support budgeting, forecasting, and cost analysis.
Identify significant variances, financial risks, or unusual transactions requiring management attention.
Tax, BIR & Statutory Compliance Coordination
Maintain complete accounting records and schedules required for Philippine tax and regulatory compliance.
Prepare internal schedules and source documentation required for VAT, withholding taxes, income taxes, alphalists, and other applicable filings.
Coordinate with the company's retained external accountant for BIR, SEC, tax, and other statutory requirements.
Ensure information provided for regulatory filings is accurate, complete, reconciled, and submitted on time.
Review tax schedules against the company's books and investigate discrepancies prior to filing.
Maintain records of tax returns, payments, and statutory submissions.
Maintain a Finance Compliance Calendar covering applicable BIR, SEC, audit, and financial‑reporting deadlines.
Annual Audit & Financial Statements
Maintain accounting records in an audit‑ready condition throughout the year.
Prepare year‑end schedules, reconciliations, and supporting documentation.
Coordinate with the external accountant and independent auditor during annual closing and audit.
Respond to audit requests and provide supporting schedules and documentation.
Support timely completion of Audited Financial Statements and applicable annual filings.
Zoho Books & Financial Controls
Serve as the primary internal owner of Zoho Books.
Maintain accurate customer, supplier, invoice, expense, payment, bank, and General Ledger records.
Ensure Zoho Books balances reconcile with bank statements and supporting records.
Help improve accounting workflows, controls, reporting, and system utilization.
Maintain appropriate access controls and safeguard confidential financial information.
Bachelor's degree in Accountancy, Accounting, Finance, or a closely related discipline.
3–5 years of progressive finance and accounting experience.
Strong practical knowledge of full‑cycle bookkeeping and accounting for a Philippine business.
Demonstrated experience with General Ledger, AP, AR, billing, collections, and bank reconciliation.
Hands‑on experience with supplier payments, petty cash, cash advances, and expense liquidation.
Experience reviewing payroll and facilitating salary disbursement.
Working knowledge of Philippine BIR and statutory accounting requirements.
Experience supporting month‑end/year‑end close and annual external audits.
Strong accounting‑system experience. Zoho Books or QuickBooks experience is highly preferred.
Strong Microsoft Excel and/or Google Sheets skills.
CPA qualification is an advantage but not required.
Experience in F&B, distribution, hospitality, retail, trading, service, or another transaction‑intensive business is an advantage.
We are looking for a hands‑on finance professional who understands how the complete financial cycle of a business fits together, not someone experienced in only one accounting function.
You should be able to maintain accurate books, understand the company's cash position, know what customers owe and what the company owes suppliers, reconcile accounts, prepare management reports, facilitate approved payments, and maintain records that are ready for tax compliance and annual audit.
