Private Advertiser is seeking a Facilities Manager to oversee property operations, site management and project coordination for Singapore‑based buildings. You will supervise contractors, ensure regulatory compliance and drive preventive maintenance programs across multiple assets.
The role requires 3–5 years in property or facilities management, strong MS Office skills and the ability to manage budgets, vendor performance and safety standards. Flexible after-hours support may be required.
Conduct regular site inspections to identify defects, maintenance needs, safety issues and areas for improvement.
Monitor building conditions, asset performance and service levels to ensure compliance with statutory and internal standards.
Support day‑to‑day building operations and respond to issues promptly.
Coordinate and supervise contractors for repair, maintenance, fit‑out, reinstatement and improvement works.
Manage term contractors and essential building services including air‑conditioning, lifts, cleaning, landscaping, pest control and other facilities systems.
Review contractor performance, verify completion of works and ensure adherence to safety, quality and timeline requirements.
Ensure building operations comply with BCA, SCDF, NEA and other regulatory requirements.
Coordinate statutory inspections and maintain proper documentation for permits, licenses and compliance submissions.
Support emergency preparedness, incident response and business continuity procedures.
Implement preventive maintenance schedules for building systems and equipment.
Track asset performance, identify recurring issues and recommend long‑term improvement measures.
Assist in lifecycle planning and replacement strategies for critical equipment.
Administer tenancy matters including lease renewals, tenancy records, lease documentation and monitoring of tenant obligations.
Coordinate with tenants, MCST, contractors and authorities on property, fit‑out and building‑related matters.
Support tenant onboarding, handover, reinstatement and compliance checks.
Assist in preparing annual OPEX/CAPEX budgets for property and facilities operations.
Source quotations, evaluate proposals and support procurement processes.
Monitor expenditure and ensure cost‑effective delivery of services.
Conduct regular performance reviews of term contractors and service providers.
Ensure service level agreements (SLAs) and KPIs are met.
Manage contract renewals, variations and terminations when required.
Prepare monthly operations reports, defect logs, maintenance records and incident reports.
Maintain accurate documentation for leases, contracts, warranties, manuals and building records.
Support audits, inspections and management reporting requirements.
Monitor utilities consumption and identify opportunities for energy savings.
Support implementation of green initiatives such as waste reduction, recycling and water efficiency.
Assist in achieving and maintaining green building certifications.
Support the Manager in operational planning, contractor management and implementation of facilities strategies.
Assist in A&A, upgrading and refurbishment projects where required.
Provide recommendations for operational improvements and asset enhancement.
Diploma or Degree in Facilities Management, Property Management, Building Services, Real Estate or a related discipline.
Minimum 3–5 years of relevant experience in property, facilities, building or estate management.
Experience in managing contractors, maintenance vendors and service providers.
Good understanding of building systems and maintenance, including M&E, HVAC/ACMV, electrical, plumbing and fire protection systems.
Familiarity with Singapore statutory and regulatory requirements relating to building and facilities management will be an advantage.
Good knowledge of Workplace Safety and Health (WSH) requirements.
Strong communication, coordination and interpersonal skills.
Good problem-solving and organisational abilities.
Proficient in Microsoft Office, particularly Excel and Word.
Able to work independently, manage multiple priorities and respond effectively to operational issues.
Willing to attend to urgent or emergency facility matters outside normal working hours when required.
