Job Summary
The Facilities Manager manages and operates, efficiently and economically the client’s assets and finances with the highest level of integrity and excellence. He/She assures strict compliance with the Management Agreement between Pro-Excel Property Managers Inc. and the specific assigned property. He/She is responsible for overseeing and managing the physical infrastructure, systems, and services that contribute to the smooth and efficient operation of the mall facility.
Duties and Responsibilities
KEY ACCOUNTABLE 1- Mall Facilities Management
- Implement procedures and performance measures and ensure facilities are always maintained.
- Attend to, participate in, and conduct visual and physical checks on the condition of mall facilities: such as, lightings, water supply, sanitary systems, including installation used by customers, and to report any unusual physical findings in accordance with established procedures
- Review existing operations regularly to reduce costs and improve operational standards.
- Maintain an aggressive energy and water conservation program.
- Provide consistent optimum building and equipment operations to support tenant operations.
- Prolong the useful life of facilities and equipment to enhance the value of managed properties.
- To establish baseline sustainability metrics and register for green certification of the property.
- Monitor all scheduled PM activities with all PM contract renewals processed for renewal prior to expiration
- Ensure all permits and certificates secured regulatory compliance.
KEY ACCOUNTABLE 2- Administration
- Coordinate with different organizations, agencies, and/or offices in relation to the assigned property.
- To schedule, arrange, and confirm the implementation of housekeeping activities, such as, but not limited to pest control, proper segregation and disposal of garbage, and minor repainting and retiling works within limits based on the policy, with contractors, service providers, and tenants;
- Supervise all personnel assigned in the specific property, including those from other sub-contracted services such as but not limited to, housekeeping, grounds keeping, engineering, maintenance and security.
- Conduct monthly vendors’ evaluation, weekly toolbox and coordination meetings.
- Attend and supervise general maintenance requirements, security and safety control, and cleanliness of the assigned property
- Prepare and submit Monthly Operations Reports and other reports as required by the management direct superior or division head.
- Recommend programs and/or action plan to maintain and improve all facilities and services in the assigned property.
- Ensures all legal/conveyance documents are properly filed and available on site such as but not limited to as built plans, permits and licenses, and other pertinent documents.
- To conduct administrative functions duly covered by existing policies and guidelines; such as, updating of mall files, checklists and others, as well as prepare periodic reports on status of repairs/maintenance works,construction or renovations activities, utility consumption and incident reports, audit findings, approval of standard documents and forms, and recommendation to Mall Management.
- Ensure that all construction and fit out works are compliant to the guidelines, building code and LGU regulations.
KEY ACCOUNTABLE 3- Financial Management
- Prepare budget & monitoring expenditure across a range of administrative/facilities item.
- Reduce operating expenses through the implementation of operational adjustments and energy conservation program.
- Rationalized spending according to importance and prioritization.
KEY ACCOUNTABLE 4- Safety & Security Management
- To coordinate security issues with the Customer Relations Services Department and monitor the resolution of the same; and,
- To collaborate and participate with concerned departments such as Customer Relations Services, Medical Services, and Engineering, Design and Development, etc. for the proper implementation of procedures and guideline on mall safety and security, including security audit, or the purpose of ensuring the safety and welfare of customers, tenants, and employee.
- Maintain fire-safe conditions inside and outside the facility. All facility managers are required to have a working knowledge of local Fire Prevention and Protection requirements.
- Ensuring proper security measures for the work place, including collaborating with security system vendors or a team of security professionals

- Plan for emergencies, business continuity, and improvements.
