Job summary

Pro-Excel Property Managers Inc. seeks a Property Manager to oversee asset operations, administration, and financial stewardship with integrity and excellence.

Job Summary
Company:Pro-Excel Property Managers Inc.

The Property Manager manages and operates, efficiently and economically, the clients' assets and finances with the highest level of integrity and excellence. He assures strict compliance with the Management Agreement between Pro-Excel Property Managers Inc. and the specific assigned property including, but not limited to, Master Deed & Declaration of Restrictions, Implementing House Rules & Regulations, and By-Laws. He enforces the Policy Guidelines of the Company and the Client, as promulgated by the Board of Trustees.

Duties and Responsibilities
KEY ACCOUNTABILITY 1: ADMINISTRATION
  • 1.Coordinate with different organizations,agencies, and/or offices in relation to the assigned property.
  • 2.Supervise all personnel assigned in thespecific property, including those from other sub-contracted services such as,but not limited to, housekeeping, grounds keeping, engineering, maintenance andsecurity.
  • 3.Attend and supervise general maintenancerequirements, security and safety control, and cleanliness of the assignedproperty.
  • 4.Address and respond to residents' concerns,complaints, and inquiries. Ensure timely resolution of service requestsreceived from residents, through allowed forms of communications (e.g. email,manual forms, Property Management App, Sapphire, etc.) within TAT.
  • 5.Act as mediator on issues between residentsbefore elevating the issue to concerned parties.
  • 6.Prepare and submit monthly management reportsand/or other reports as required by the management, direct superior, ordivision head.
  • 7.Insure and keep insured on behalf of theclient, the assigned property against loss or damage by fire and other risks orperils as deemed necessary and as approved by the Condominium Corporation or HomeownersAssociation.
  • 8.Recommend programs and/or action plans tomaintain and improve all facilities and services in the assigned property.
  • 9.Prepare meeting agenda and materials for theBoard Meetings, General Membership meetings and other special meetings.
  • 10.Implement policies and programs as promulgatedby the Board of Trustees.
  • 11.Prepare correspondences, circulars, QuarterlyNewsletters, memoranda, and the like for the information of Unit Owners,Tenants, and/or Occupants, reviewed and duly approved by QA department,immediate heads, Board of Trustees and PD/Marketing, as applicable.
  • 12.Ensure that all construction and fit-out worksare compliant to the approved House Rules and Regulations, building code andLGU regulations.
  • 13.Conduct Board of Trustees meetings (as requiredby the managed project's By-Laws), Annual General Membership Meeting (AGMM),monthly vendors evaluation, weekly toolbox and coordination meetings.
  • 14.Ensure all legal/conveyance documents areproperly filed and available on site such as but not limited to as-built plans,permits and licenses, minutes of the meetings, financial records, and otherpertinent documents.
  • 15.Safeguard residents' security andconfidentiality standards specifically on data handling.
  • 16.All other duties as may deemed necessary fromtime to time.
KEY ACCOUNTABILITY 2: FINANCIAL
  • 1.Review and evaluate Monthly and Annual FinanceFinancial Statement report as prepared by the Accounting Department forinclusion in the regular monthly Management Report, Board Meeting and AnnualBudget.
  • 2.Properly handle, safeguard, and monitor use ofclients' funds and assets with the goal of incurring savings.
  • 3.Prepare annual budget, operating expense,capital expenditure, and special assessment, for the assigned property subject tothe approval of the Board of Trustees.
  • 4. Monitor daily collection report against deposit or cashposition.
  • 5.Review and process payment for government duesor assessments for, but not limited to Business Permits & Licenses, Real Property Taxes, and other taxes.
  • 6.Meets target Collection Efficiency ofAssociation dues for Condo Corp/HOA member, developer and other affiliates
  • 7.Ensure monitoring, proper disbursement andon-time replenishment of Petty Cash Fund (PCF).
  • 8.Recommend cost reduction programs oractivities.
  • 9.All other duties as may deemed necessary fromtime to time.
KEY ACCOUNTABILITY 3: ENGINEERING
  • 1. Responsible for the daily maintenance, inspection, monitoring, andoperation of the common area including all machineries and equipment in theassigned property to ensure uninterrupted service to residents/occupants.
  • 2. Strictly implement the preventive maintenance schedule to precludeunnecessary breakdowns, unscheduled repairs and/or replacement. Ensurecompliance with the 52-week calendar PM schedule.
  • 3. Responsible for submitting technical maintenance report requiring repairor replacement due to equipment or machine breakdown.
  • 4. Conduct plan review of construction/fit-out requests prior to endorsementto QA/declarant for vetting/approval, as applicable.
  • 5. Prioritize technical work to be done in accordance with safety, timeduration, and budget.
  • 6. All other duties as may deemed necessary from time to time.
KEY ACCOUNTABILITY 4: HOUSEKEEPING
  • 1. Study, evaluate, and analyze housekeeping requirement to ensurecleanliness, maintenance, and sanitation of common area premises of theassigned property.
  • 2. Submit to the Board of Trustees, duly noted by direct superior, therecommendation on housekeeping requirement detailing the Scope of Work,Periodic Operational Requirement, and Operating Budget.
  • 3. Monitor day-to-day performance of housekeeping services.
  • 4. All other duties as may deemed necessary from time to time.
KEY ACCOUNTABILITY 5: SECURITY
  • 1. Study, evaluate, and analyze security requirement to ensure safety andorderliness of the building.
  • 2. Submit to the Board of Trustees, duly noted by direct superior, therecommendation on security programs to promote upkeep and emergencypreparedness of all unit owners, tenants, staff, and visitors.
  • 3. Review the Security Scope of Work, Periodic Operational Requirement, andOperating Budget.
  • 4. Monitor day-to-day performance of Security service personnel.
  • 5. Strictly enforce security and safety procedures including, but notlimited to, Fire Detection & Alarm System, Emergency Preparedness Program,Earthquake Drills, Fire Drills, and Bomb Detection.
  • 6. Ensure regular update of Incident Action Plan (IAP)
  • 7. All other duties as may deemed necessary from time to time.
