REQ15050 Executive, Events Management (Open)
POSITION SUMMARY:
The Executive, Events Management under the guidance and supervision of the Director, Events Management is responsible for coordinating every aspect of an event to ensure its delivery as contracted. He/she is expected to do event detailing with the organizer of the event to include requirements for guestrooms, menu choices, set up plan and audio-visual equipment. He/she coordinates client requirements with the operations departments of the hotels to ensure its successful implementation and delivery.
PRIMARY RESPONSIBILITIES:
- Solicits corporate live-out, live-in (MICE) and social event business from accounts within the assigned territory or as directed by the Director of Events Management, through sales calls, telemarketing, emails, and entertainment.
- Manages accounts through relationship building with all possible contacts within the company to include decision makers and influence peddlers.
- Contributes to the achievement of departmental goals within agreed budget through his/her accounts.
- Attends major functions and Ad promotion events (i.e., fairs and travel shows) and promote sales (events, rooms and other facilities and services) for the hotel.
- Prepares and submits sales deliverables such as weekly itinerary, weekly activity report, monthly telemarketing, and monthly production report.
- Remains informed of all movements within the account on business opportunities for corporate events business for City of Dreams Manila and that of competition.
- Formulates strategies for accounts handled to develop these as active producers.
- Develops and maintains potential clients' database and ensures proper documentation of account activities.
- Drafts and sends out banquet event order, event proposals and contracts in a timely manner. Reverts to client inquiries within 24 hours.
- Prepares and actively participates in book reviews and account reviews.
- Conducts weekly BEO reading with F&B operations team.
- Prepares and actively participates in book reviews and account reviews.
- Keeps abreast on information about the competitors, their pricing, sales activities, and product offers.
- Prepares and conducts site inspection plan to prospective clients of the resort.
- Performs other tasks/duties as required by the Director, Events Management.
PERFORMANCE INDICATORS:
Individual Level
- Minimum of one hundred (100) monthly sales activities.
- Minimum of twenty (20) accounts for monthly telemarketing.
- Minimum of thirty (30) business leads generated monthly.
- Achievement of yearly Budget Revenue.
- Minimum of two (2) relationship building activity per year.
- Minimum of five (5) repeat clients per year.
HR Mandated:
- Company-wide initiated online trainings.
- Participation in at least two (2) corporate social responsibility activities and/or employee engagement activities in a year
QUALIFICATIONS:
I. ExperienceMinimum of one (1) year events management experience in a five-star hotel.
II. EducationCollege graduate in a reputable university.
III. Skills / Competencies
- Excellent in written and oral English.
- Proficient in Delphi and Opera.
- Ability to communicate effectively with clients at all levels both internally & externally.
- Excellent negotiation skills.
- Excellent presentation skills.
- He/she must be detail-oriented and organized in managing the numerous details of an event.
- He/she must be able to work under pressure and can work with tight deadlines.
- He/she must be able to multi-task to efficiently handle hotel duties and manage the event being organized concurrently.
