Opportunity Overview

The Executive Assistant serves as a trusted business partner to the Vice President and leadership team, providing high-level administrative, communication, project coordination, and event management support. This role is responsible for proactively managing executive priorities, safeguarding executive time, coordinating communications, developing executive-level presentations, and supporting strategic initiatives that drive organizational effectiveness.

Executive & Leadership Support
  • Manage complex executive calendars and schedules, ensuring alignment with business priorities and strategic objectives.
  • Proactively identify and resolve scheduling conflicts while balancing competing priorities and stakeholder needs.
  • Coordinate domestic and international travel arrangements, accommodations, itineraries, and expense reporting.
  • Prepare meeting agendas, briefing materials, talking points, minutes, and action item trackers.
  • Serve as a primary point of contact between the executive office and internal and external stakeholders.
  • Monitor follow-up actions, commitments, and deliverables to ensure timely execution.
  • Handle sensitive and confidential information with discretion and sound judgment.
Executive Communications
  • Draft, edit, and manage executive communications, including emails, announcements, notices, speeches, talking points, memos, and organizational updates.
  • Prepare professional correspondence on behalf of senior leaders while ensuring consistency in messaging and tone.
  • Partner with leaders to communicate business objectives, organizational updates, and strategic initiatives effectively.
  • Review communication materials for accuracy, clarity, professionalism, and executive readiness.
  • Coordinate communication activities involving customers, suppliers, business partners, and leadership stakeholders.
Executive Presentation Development & Content Creation
  • Develop executive-level presentation decks, reports, dashboards, and visual communication materials for leadership meetings, business reviews, customer engagements, strategy sessions, town halls, and board presentations.
  • Transform complex information and data into concise, visually compelling, and executive-ready presentations.
  • Partner closely with leaders to develop impactful messaging, storytelling, and presentation flow that effectively communicates key business objectives.
  • Create and maintain presentation templates and materials that align with Teradyne branding and communication standards.
  • Consolidate information from multiple stakeholders to create polished and professional executive reports and presentations.
  • Ensure accuracy, consistency, and quality of all presentation materials delivered to internal and external audiences.
Project & Strategic Initiative Support
  • Support the execution of executive-level projects and strategic initiatives by coordinating stakeholders, tracking deliverables, and monitoring timelines.
  • Maintain project status reports, action-item logs, and executive updates.
  • Facilitate collaboration across cross-functional teams to ensure successful project execution.
  • Assist leadership in driving accountability for commitments, milestones, and project outcomes.
  • Identify opportunities for process improvements and operational efficiencies.
Events & Executive Programs
  • Plan, coordinate, and execute executive meetings, leadership forums, town halls, off-site meetings, workshops, customer visits, and special events.
  • Manage event logistics, venue arrangements, vendor coordination, travel requirements, meeting materials, and communications.
  • Coordinate cross-functional activities to ensure events and initiatives are executed successfully and aligned with business objectives.
  • Support leadership team engagement activities and organizational events.
  • Ensure a seamless experience for executive stakeholders, customers, and visitors.
Office & Administrative Operations
  • Support operational requirements of the executive office through effective coordination and administration.
  • Manage vendor relationships, oice logistics, and administrative processes as needed.
  • Maintain organized records, documents, and confidential executive files.
  • Recommend process improvements that enhance operational efficiency and leadership effectiveness.

Minimum Qualifications
  • Bachelor’s degree in business administration, Communications, Marketing, Management, or a related field.
  • Minimum of 5 years of Executive Assistant, Executive Coordinator, Executive Office, or related experience.
  • Experience supporting Directors, Vice Presidents, Senior Leaders, or Executive-level stakeholders preferred.
  • Exceptional written and verbal communication skills.
  • Strong organizational, planning, prioritization, and follow-through capabilities.
  • Demonstrated experience preparing executive-level presentations, reports, and communication materials.
  • Proven project coordination and event management experience.
  • Advanced proficiency in Microsoft 365 applications, including Outlook, PowerPoint, Excel, Word, Teams, and OneNote.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining exceptional attention to detail.
  • High level of professionalism, discretion, and confidentiality.
  • Self-driven with a strong sense of ownership, accountability, and continuous improvement.
