Role Overview
We are seeking an organised and detail-oriented Accounting Administrator to provide administrative and compliance support to an accounting and tax team. The successful candidate will have a good understanding of Australian accounting and tax practices, strong attention to detail, and the ability to manage multiple tasks and priorities.
This role involves client administration, document preparation, workflow coordination, ASIC and ATO-related tasks, and general support to accountants.
Key Responsibilities
- Provide administrative and compliance support to accountants and the wider team.
- Demonstrate sound knowledge of Australian accounting and tax firms, including common entity structures such as companies, trusts, corporate trustees, sole traders, bare trusts, and SMSFs.
- Schedule client meetings and manage calendars.
- Allocate work, tasks, and emails to the appropriate team members.
- Coordinate client onboarding and maintain accurate, organised client records across multiple software platforms.
- Manage and organise client emails, correspondence, and follow-ups.
- Perform general data entry and administrative tasks with a high level of accuracy.
- Prepare invoices and assist with billing administration as required.
- Complete ASIC company updates and maintain company records using BGL CAS 360.
- Prepare documentation for new entity establishments, including forms and supporting documents.
- Send documents and forms to clients for electronic signing and follow up on outstanding signatures.
- Liaise with the ATO by telephone, take detailed notes, and communicate outcomes and required actions to clients and the accounting team.
- Prepare professional client correspondence and emails and develop templates for recurring communications.
- Follow up with clients for outstanding information, documents, and approvals.
- Maintain accurate client records, task statuses, and workflow information.
- Assist accountants with general administrative and compliance-related activities.
- Ensure all work is completed accurately, efficiently, confidentially, and within required deadlines.
- Handle sensitive client information securely and maintain strict confidentiality at all times.
Skills & Qualifications
- Previous experience in an accounts, accounting administration, tax administration, or professional services environment.
- Experience working with Australian accounting or tax firms is highly desirable.
- Strong understanding of Australian business structures and accounting terminology.
- Familiarity with ASIC, ATO, and BGL CAS 360.
- Strong organisational and time-management skills.
- Excellent attention to detail and ability to identify inconsistencies or missing information.
- Strong written and verbal communication skills.
- Confident in communicating with clients, accountants, and external organisations.
- Proficient in Microsoft Office and general office software.
- Ability to manage multiple tasks, deadlines, and priorities.
- High level of confidentiality and professionalism.
Nice to Have
- Experience with BGL CAS 360 or similar ASIC/company compliance software.
- Previous experience in an Australian accounting, tax, or business advisory firm.
- Knowledge of entity establishment and ASIC compliance processes.
- Experience communicating directly with the ATO.
- Familiarity with electronic document signing and client management platforms.
