About the Role
We’re looking for an experienced, highly organized, and proactive Executive Assistant to work directly with our CEO and support operations across a fast-growing technology startup.
This is not a traditional calendar or inbox management role. We’re looking for someone who can identify operational gaps, build better systems, support teams, and take ownership of getting things done.
You’ll work across multiple departments, helping improve internal processes, coordinate requests, and ensure the company operates efficiently as it scales.
Key Responsibilities
- Systems & Process Improvement: Identify inefficiencies, operational gaps, and opportunities to improve how the company works.
- Cross-Functional Support: Assist different teams with administrative, operational, and ad hoc requests.
- Operations & Administration: Support day-to-day business operations, documentation, vendor coordination, and internal workflows.
- Project Coordination: Track ongoing initiatives, follow up with stakeholders, and ensure deadlines and deliverables are met.
- Research & Execution: Research tools, services, vendors, and solutions, then take ownership of implementation.
- Automation & AI: Leverage tools like ChatGPT, Zapier, and other software to streamline repetitive tasks and improve productivity.
- Executive Support: Assist the CEO with special projects, business priorities, and operational needs.
- Documentation: Create and maintain SOPs, internal processes, and organized systems for company knowledge.
Requirements
- 3+ years of experience as an Executive Assistant supporting executives at Canadian or U.S.-based startups.
- Experience supporting founders, CEOs, or senior executives in fast-paced environments.
- Strong understanding of startup operations, internal workflows, and cross-functional coordination.
- Excellent written and verbal English communication skills.
- Highly proficient with Google Workspace, project management software, and AI productivity tools.
- Demonstrated ability to independently identify problems, propose solutions, and implement improvements.
- Exceptional organization, attention to detail, and follow-through.
- Comfortable working across multiple projects with changing priorities.
What Makes Someone Successful Here
- You're a problem solver: You identify gaps and take initiative to fix them.
- You think in systems: You don't just complete tasks; you create processes that make future tasks easier.
- You're resourceful: You can figure things out without constant direction.
- You're execution-focused: You turn ideas into actionable steps and follow through.
- You're adaptable: You thrive in a startup where priorities can change quickly.
- You communicate proactively: You keep people informed and ensure nothing slips through the cracks.
