Job description

ProCredit is a tech-enabled SME lender led by a very seasoned team with over 50 years of combined experience at Citigroup, Standard Chartered, ANZ, and ADB — deeply rooted in emerging markets and SME lending. We're on a mission to become the leading SME lender in the Philippines, using credit-first engagement, data-driven underwriting, and flexible, risk-based lending to close the credit gap for growing businesses. We pay above market, value ambition, and offer fast-moving paths to leadership positions for those hungry to make an impact. If you're driven, growth-minded, and ready to help reshape the future of Philippine lending — this is your moment.

THE ROLE

The Executive Assistant is a senior, trusted partner to Management, operating with a high degree of autonomy, judgment, and discretion. This role goes beyond administrative support: it anticipates Management's needs, manages complex and competing priorities without close supervision, safeguards highly confidential and commercially sensitive information, and serves as a credible representative of Management in dealings with the Board, investors, regulators, and external partners. The Executive Assistant is expected to bring seasoned professional maturity, sound business judgment, and the composure to operate effectively in a fast-moving, high-stakes lending environment.

1. EXECUTIVE & BUSINESS DOCUMENTATION MANAGEMENT

Scope: Own the full lifecycle of high-level business documentation, exercising independent judgment on accuracy, sensitivity, and readiness for Management and Board use.

  • Draft, review, and finalize contracts, agreements, board memoranda, investor correspondence, reports, and other business-critical documents, often working directly from Management's verbal or partial instructions.
  • Independently verify accuracy, completeness, formatting, and supporting documentation before anything is routed for signature or release, catching issues before they reach Management.
  • Manage document routing for approvals, signatures, notarization, and distribution across internal and external stakeholders, including Board members and regulators.
  • Maintain authoritative document trackers, proactively flagging documentation risks and bottlenecks rather than simply logging status.
  • Lead the preparation of board decks, executive reports, presentations, and meeting materials, shaping content and narrative in partnership with Management.
2. STRATEGIC CALENDAR, STAKEHOLDER & MEETING MANAGEMENT

Scope: Act as the central coordination point for Management's time, priorities, and stakeholder relationships, exercising discretion on trade-offs and access.

  • Own Management's calendar end-to-end, making informed prioritization calls across competing internal and external demands.
  • Coordinate directly with the Board, investors, regulators, senior leadership, and external partners to schedule and prepare for high-stakes meetings.
  • Prepare agendas, brief Management ahead of key meetings, record minutes and decisions, and track follow-through on action items to closure.
  • Proactively surface and resolve scheduling conflicts, pending approvals, and outstanding commitments before they become urgent.
  • Escalate delays or risks to timelines and business operations promptly, with a recommended course of action rather than the issue alone.
3. GOVERNANCE, COMPLIANCE & CONFIDENTIALITY

Scope: Uphold the highest standard of discretion and control over Management-level and Board-level information.

  • Ensure all documentation complies with company policy, internal controls, and applicable legal and regulatory requirements.
  • Conduct final quality and confidentiality checks before sensitive documents are released, signed, or filed.
  • Exercise sound, independent judgment on what information may be shared, with whom, and when — particularly for Board, regulatory, and investor-related matters.
  • Support internal audits, regulatory examinations, and compliance reviews by assembling complete, accurate, and well-organized documentation.
  • Maintain rigorous version control and approval records for all Management- and Board-level documents.
4. RECORDS & INFORMATION GOVERNANCE

Scope: Own the integrity, security, and accessibility of Management's records and confidential archives.

  • Design and maintain electronic and physical filing systems using standardized document control procedures for Management-level records.
  • Maintain document registers, trackers, and administrative databases with a high bar for accuracy and retrievability.
  • Ensure proper indexing, archiving, and retention of confidential business, Board, and regulatory records.
  • Maintain secure storage and controlled access for sensitive records, including personally identifying and commercially sensitive information.
5. OPERATIONAL LEADERSHIP & PROCESS SUPPORT

Scope: Drive efficiency and consistency in how Management's office operates, and mentor junior administrative staff where relevant.

  • Coordinate documentation and administrative requirements across departments, the Board, and external parties on Management's behalf.
  • Provide Management with regular, synthesized status updates on ongoing administrative and operational priorities — not raw activity logs.
  • Resolve documentation issues, discrepancies, and incomplete submissions directly, looping in Management only when a decision is required.
  • Own and continuously improve standardized templates, forms, checklists, and administrative procedures used across the business.
  • Identify and lead initiatives that improve administrative workflows, document control, and operational efficiency.
  • Provide guidance and quality oversight to junior administrative or support staff, where the role has such oversight.
  • Support special projects and strategic initiatives assigned directly by Management.
WHO WE'RE LOOKING FOR
  • 3+ years of experience as an Executive Assistant, Chief of Staff, or senior administrative professional supporting C-suite or senior leadership, ideally within banking, financial services, or fintech.
  • Exceptional judgment and discretion in handling confidential, commercially sensitive, and regulatory information.
  • Polished, credible communicator able to represent Management with the Board, investors, regulators, and senior external stakeholders.
  • Demonstrated ability to manage competing priorities and ambiguous instructions independently, with minimal supervision.
  • Highly organized and detail-oriented, with rigorous follow-through on documentation, tracking, and deadlines.
  • Composed and professional under pressure, comfortable operating in a fast-paced, high-growth lending environment.
  • Advanced proficiency in MS Office and document/administrative systems; strong written communication skills.
  • Prior experience mentoring or overseeing junior administrative staff is an advantage.
WHY JOIN US?
  • Above-market compensation with performance incentives.
  • Direct, high-trust partnership with senior leadership and the Board.
  • Work with a high-caliber team in a mission-driven company.
  • Shape the operating rhythm, governance, and administrative standards of a fast-growing fintech.
