Job summary

Private Advertiser is seeking a Document Control Center professional in the Philippines (Laguna/Calamba) to manage controlled documents, forms, and records under the QMS. The role ensures accuracy, proper approvals, version control, and accessibility for audits and compliance with ISO 9001:2015 and HALAL requirements.

The incumbent will maintain filing systems, distribute documents, monitor approvals and reviews, and prepare status reports.

Qualifications

• Knowledge of document control principles and Quality Management System requirements.
• Knowledge of ISO 9001:2015 and other applicable company standards.
• Knowledge of internal audits, customer audits, supplier audits, and HALAL requirements.
• Strong organisational skills with attention to document accuracy, approval status, version control, and record completeness.
• Ability to coordinate effectively with multiple departments and authorised users.
• Ability to maintain accurate, traceable, and accessible physical and electronic records.

Responsibilities

• Maintain the master list of controlled documents, forms, procedures, work instructions, and other QMS documented information.
• Maintain an organised filing and indexing system for physical and electronic records.
• Distribute approved documents to concerned departments and authorised users.
• Ensure documented information is controlled in accordance with the company's approved QMS procedures.
• Monitor document updates, pending approvals, overdue reviews, and record completeness.
• Prepare periodic Document Control Center status reports.
• Support internal audits, customer audits, and supplier audits by ensuring required documents and records are traceable and readily available.
• Help prevent the unintended use of obsolete documents through appropriate document control and retrieval practices.
• Maintain records related to applicable quality and HALAL requirements.
