United Davao Specialists Hospital and Medical Center Inc. is seeking a diligent Medical Records Officer to gather demographics, file and secure patient records, and maintain accurate indexing for quick accessibility by authorized staff.

The role requires coordinating with medical staff, ensuring confidentiality, and supporting audits and system improvements within hospital procedures.

Qualifications

• Experience with medical records management in a hospital setting.
• Familiar with privacy laws and patient confidentiality requirements.
• Ability to coordinate with medical staff and other departments.

Responsibilities

• Gather patients’ demographics and other information in coordination with medical staff and other departments.
• File, secure, update, and retrieve patients’ written and digital medical records using coding systems and databases in accordance with hospital procedures.
• Manages the index of patients by ensuring that medical records are complete, accurate, and are assembled in a standard order in their designated areas, and ensures accessibility of records to authorized persons.
• Responds to requests for medical records by retrieving and transmitting them accurately to appropriate staff within the hospital or other authorized persons from outside the hospital as necessary, and maintains accurate documentation as to why medical records are not accessible for statistical and follow-up purposes.
• Safeguards patients’ privacy by ensuring that all sensitive information and medical records are treated with utmost confidentiality at all times, in compliance with the hospital and national laws and regulations.
• Assists in audits and investigations in coordination with other personnel from other departments.
• Produces digital copies of medical records to be stored in electronic databases.
• Assesses existing medical records management system and suggests plans for improvement as seen necessary.
