School photography is about more than capturing great photos. Behind every successful school photo day is a team ensuring that student records, class information and photographs are accurately organized and ready for production.
We're looking for a Data Production Team Member to join our Australian client's remote production team for this coming school photography season.
This opportunity is ideal for someone who enjoys working with data, is confident using computers and has the ability to learn new systems. You'll play an important role in preparing school information, setting up production jobs and ensuring everything is accurate before moving to the next stage of the production process.
THE ROLE
You will be part of the client's Data Production Team, responsible for managing and preparing school information using Microsoft Excel and Timestone, a specialized school photography production system.
This is more than a traditional data entry position. You'll work with structured information, configure production jobs, identify discrepancies and ensure records are accurately prepared in accordance with established procedures.
While previous Timestone or school photography experience is not required, you should be comfortable working with computers, have good Excel skills and be willing to learn specialized software through structured training.
WHAT YOU WILL DO
- Receive and organize school information, including student and staff lists, year levels, class groups and special instructions.
- Clean, format and prepare school data using Microsoft Excel before importing it into the production system.
- Set up and configure production jobs in Timestone, ensuring templates, school logos, colours, class groups and other relevant settings are correctly applied.
- Match student and staff photographs to their corresponding records, ensuring information and images are accurately linked.
- Perform quality checks to identify missing information, inconsistencies and discrepancies before jobs proceed to the next production stage.
- Investigate and resolve data-related issues by following established procedures and seeking clarification or assistance when necessary.
- Prepare and render completed jobs for printing once the required approvals have been received.
- Maintain accurate production records and shared documentation while managing multiple concurrent jobs and meeting agreed deadlines.
- Communicate professionally with internal team members and relevant contacts to clarify information and keep production activities moving.
WHAT YOU BRING
- Previous experience in data entry, data processing, administration, data analysis or a similar role involving structured information.
- Good Microsoft Excel skills, particularly in formatting, sorting, organizing and manipulating data.
- Strong computer skills and the ability to learn new software and systems quickly. An IT background is an advantage.
- Excellent attention to detail, with the ability to identify inconsistencies and maintain accuracy when handling large volumes of information.
- Logical thinking and practical problem-solving skills, with the ability to exercise sound judgement when working with data.
- Good written English and professional communication skills.
- Strong organizational and time management skills, with the ability to manage competing priorities and deadlines.
- Ability to work independently in a fully remote environment while following established procedures and maintaining productivity.
- No prior Timestone or school photography experience is required. Structured training and ongoing support will be provided.
