Job summary

Top1Movers Worldwide Inc. is seeking a Port Representative to manage end-to-end cargo clearance at the port. You will prepare customs docs, liaise with authorities, track shipments, inspect cargo, file reports, and coordinate gate passes to ensure timely client deliveries.

You will work in a fast-paced port environment, schedule truck rotations, monitor vessel discharge, and identify cost-saving efficiency opportunities while maintaining compliance with regulations.

Qualifications

• Bachelor's degree in Customs Administration, Logistics, Supply Chain, or related field is a plus.
• Prior knowledge in port operations, customs brokerage, logistics is preferred.
• 6 months to 1 year experience; entry-level candidates are welcome.
• Knowledge of customs regulations and port procedures.
• Must have motor vehicle and a valid driver's license.

Responsibilities

• Monitor shipment status after discharge and report delays or irregularities.
• Prepare, verify, and submit documents for customs processing and release.
• Plan and process clearance from arrival to client delivery to ensure smooth operations.
• Coordinate with port authorities for examinations and conduct inspections when needed.
• Inspect units, document issues, and report damages or missing items.
• Prepare documents for insurance claims or customer service reports.
• Secure gate passes and entry documents for cargo movement within the port.
• Coordinate gate passes for return of empty flatracks and related processing.
• Schedule deliveries and assign truck rotations to maximize efficiency.
• Submit invoices and receipts to Accounting on time.
• Provide regular shipment updates to clients and internal teams.
• Identify opportunities to improve efficiency and reduce costs.
• Provide timely updates on released shipments monitoring.
• Carry out additional tasks assigned by supervisor related to logistics.

Job description

The Port Representative is responsible for managing the end-to-end process of cargo clearance at the port. This includes preparing and submitting customs documentation, coordinating with port and customs authorities, monitoring shipment status, handling cargo inspections, and resolving issues such as damages or delays. The role also involves securing port access, scheduling deliveries, and providing regular updates to clients and internal teams, while continuously seeking ways to improve operational efficiency.

Job Description:

• Monitor and update the status of shipments being discharged from vessels; report any irregularities or delays.

• Prepare, secure, verify, and submit all necessary documents for customs processing and shipment release.

• Efficient plan and process shipment clearance from arrival to client delivery, ensuring smooth operations.

• Supervise or coordinate with authorities for the examination of shipments and conduct own inspection when necessary.

• Inspect the units, document, photograph, and report any damages, missing packages, or incidents related to shipments.

• Prepare documentation needed for insurance claims or customer service reports due to shipment issues.

• Secure and process gate passes and other entry requirements for cargo movement within the port.

• Monitor the return of empty flatracks and coordinate timely processing of related gate passes.

• Schedule and plan deliveries, including assigning truck rotations to maximize efficiency.

• Submit original invoices and official receipts to the Accounting Operations in a timely manner.

• Provide regular and accurate shipment updates to clients or internal teams.

• Identify and recommend opportunities to enhance efficiency, reduce operational costs, and improve overall performance.

• Provide timely updates on the monitoring of released shipments.

• Perform other tasks as may be assigned by the supervisor or management related to logistics and port operations.

Qualifications:

• Bachelor’s degree in Customs Administration, Logistics, Supply Chain, or related field is a plus.

• Prior knowledge in port operations, customs brokerage, logistics is preferred.

• Must have at least 6 months to 1 year experience - Entry Level candidates are welcome to apply.

• Knowledge of customs regulations and port procedures.

• With motor vehicle and valid driver’s license.

Skill Set:

• Strong organizational and problem-solving skills.

• Proficiency in basic computer applications (MS Office, MS Excel).

• Ability to work in a fast-paced, physically demanding port environment.

Working Conditions:

• Monday to Saturday

• 8:30 AM - 5:30 PM

• Work or updates may be provided at any time, depending on operational requirements.
