Job summary

Bioessence Group of Companies is seeking a Credit & Collections Supervisor to oversee credit and collection operations, ensuring accurate customer records and timely payments. You will lead the team, monitor aging, and coordinate with Sales and Finance to minimize credit risk and improve cash flow.

The role requires strong analytical skills, experience in AR and collections, and a focus on controls and process improvements within a fast-paced environment.

Qualifications

  • Bachelor's degree in Accountancy, Finance, Business Administration, Management, or a related field.
  • Proven experience in credit and collections, accounts receivable, billing, finance, or a similar role.
  • Previous supervisory or team leadership experience is highly preferred.
  • Strong knowledge of credit management, accounts receivable, collections, billing, reconciliation, and financial controls.

Your Role

As a Credit & Collections Supervisor, you will oversee the company's credit and collection operations, ensuring that customer accounts are accurately maintained and outstanding balances are collected within agreed payment terms.

You will supervise the Credit & Collections team, monitor accounts receivable performance, review aging reports, manage collection activities, and coordinate with internal and external stakeholders to resolve payment concerns and minimize credit risk.

You will also identify opportunities to improve collection processes, strengthen internal controls, and support the company's overall cash flow and financial performance.

Key Responsibilities
  • Supervise and oversee daily credit, billing, accounts receivable, and collection activities.

  • Monitor customer accounts, outstanding balances, payment status, and collection performance.

  • Review accounts receivable aging reports and identify overdue, high-risk, and long-outstanding accounts.

  • Develop and implement effective collection strategies to improve cash flow and reduce outstanding receivables.

  • Monitor customer credit limits, payment terms, and credit exposure in accordance with company policies.

  • Review and recommend appropriate credit terms and limits for customers when necessary.

  • Ensure timely follow-up and collection of outstanding invoices and balances.

  • Coordinate with Sales, Branch Operations, Finance, and other departments regarding customer accounts and payment concerns.

  • Investigate and resolve billing discrepancies, account disputes, payment issues, and reconciliation differences.

  • Ensure accurate posting and application of customer payments to the appropriate accounts.

  • Review account reconciliations and ensure discrepancies are properly investigated and resolved.

  • Maintain complete and accurate documentation of collection activities, customer communications, payment arrangements, and account resolutions.

  • Establish appropriate escalation procedures for overdue and high-risk accounts.

  • Communicate professionally with customers regarding outstanding balances, payment schedules, account concerns, and collection matters.

  • Negotiate payment arrangements when appropriate and ensure commitments are properly monitored.

  • Prepare and review accounts receivable aging reports, collection reports, cash collection forecasts, and other financial reports.

  • Monitor collection targets and key performance indicators (KPIs) and provide regular updates to management.

  • Analyze collection trends and customer payment behavior to identify risks and opportunities for improvement.

  • Recommend improvements to credit, billing, collection, and accounts receivable policies and procedures.

  • Identify opportunities to streamline processes and improve collection efficiency through system enhancements and automation.

  • Ensure compliance with company policies, internal controls, and established credit and collection procedures.

  • Assist with internal and external audits by providing accurate schedules, account details, and supporting documentation.

  • Coordinate with external partners, customers, and service providers when necessary to resolve account-related concerns.

  • Supervise, coach, and mentor Credit & Collections team members.

  • Monitor team performance, productivity, workloads, and collection targets.

  • Provide guidance and training to team members on collection procedures, customer communication, systems, and company policies.

  • Conduct regular performance reviews and provide constructive feedback to improve team effectiveness.

  • Support Finance-related projects and other business initiatives as assigned.

  • Proficiency in Microsoft Excel, accounting software, ERP systems, and other financial tools.

  • Experience with POS, ERP, or accounting systems is an advantage.

  • Strong leadership, coaching, and people-management skills.

  • Experience in the beauty, wellness, retail, healthcare, hospitality, or service industry is an advantage.
