ExcelSure Marketing Corporation is seeking a Credit and Collection Associate to manage credit, billing, and cash collection activities, ensuring accurate AR records and timely invoicing.

The Credit and Collection Associate is responsible for managing the company's credit and collection processes to support healthy cash flow and minimize credit risk. This role evaluates customer creditworthiness, conducts customer background investigations, establishes new customer accounts, manages accounts receivable, prepares billing documents, monitors collections, processes customer payments, and maintains accurate financial records. The position also oversees the issuance of the List of Collectibles and Payments (LCP) and the release of inbound and outbound invoices while working closely with internal departments and customers to resolve billing and payment concerns promptly.
Conduct customer background investigations and verify business information, financial standing, trade references, and other relevant documents prior to credit approval.
Evaluate customer credit applications by reviewing financial information, credit history, payment behavior, and other relevant data.
Assess customer creditworthiness and recommend appropriate credit limits, payment terms, and conditions in accordance with company policies.
Create and maintain new customer accounts in the company's ERP/accounting system, ensuring all customer information and supporting documents are complete and accurate.
Update and maintain customer master data, including credit terms, billing information, and account details.
Monitor customer credit accounts and recommend adjustments to credit limits or payment terms based on account performance and risk assessment.
Prepare, verify, and issue customer invoices, billing statements, and other billing documents accurately and on time.
Prepare and issue the List of Collectibles and Payments (LCP).
Process and release inbound and outbound invoices in accordance with established procedures.
Monitor accounts receivable aging reports and identify overdue accounts requiring follow-up.
Contact customers through phone calls, emails, or written correspondence to collect outstanding balances and resolve payment concerns.
Negotiate payment arrangements when appropriate while maintaining positive customer relationships.
Record collection activities, customer communications, payment commitments, and account updates accurately in the company's system.
Receive, verify, and process customer payments, including checks, bank transfers, electronic payments, cash, and other accepted payment methods.
Apply payments accurately to customer accounts and reconcile them against outstanding invoices.
Coordinate with the Finance team to ensure timely recording and reconciliation of transactions.
Investigate billing discrepancies and customer disputes related to invoices, pricing, deliveries, or services.
Coordinate with Sales, Operations, Customer Service, and Finance to resolve issues efficiently and prevent payment delays.
Ensure customer concerns are addressed promptly while protecting the company's financial interests.
Prepare periodic reports on accounts receivable aging, collection status, overdue accounts, and credit performance.
Analyze collection trends and recommend improvements to credit and collection processes.
Ensure compliance with company policies, internal controls, and applicable financial regulations.
Assist during internal and external audits by providing required documentation and reports.
