Our client is a US-based accounting and tax firm that carries a portfolio of small-business clients across construction, oil and gas, and day spa and wellness. Each of those clients hands over their books completely, and the person in this seat is the one who takes that responsibility. You set up the QuickBooks Online file, you decide how the chart of accounts is structured, you reconcile, you close the month, and you deliver the financial statement package the owner actually reads.
That is a different level of trust than a typical bookkeeping seat, and it comes with a different level of independence. Nobody is going to remind you that a bank reconciliation is due, or catch a miscoded job cost before it reaches a contractor's job profitability report. This firm’s clients stay with it for years because they trust the numbers completely. Your job is to be the reason that stays true.
The construction side is the part most applicants underestimate. Coding a subcontractor invoice to the right job and the right cost code is not clerical work — it decides whether a contractor can tell which jobs are making money and which ones are quietly bleeding. If job costing is genuinely part of your background rather than a line on a resume, this role will feel like a good use of what you already know.
Key Responsibilities
- Own the complete bookkeeping cycle for all assigned clients, from daily transaction entry through month-end close and financial reporting
- Categorize and reconcile all transactions accurately, ensuring every entry is coded to the correct account, class, and job or cost center
- Perform monthly bank and credit card reconciliations for all accounts
- Manage accounts payable and accounts receivable for each client, including vendor invoice processing and customer billing support
- Accrue expenses monthly and post adjusting journal entries as required
- Maintain job cost tracking for construction clients, coding labor, materials, subcontractor costs, and equipment to the correct job and cost code
- Support work-in-progress (WIP) reporting and percentage-of-completion tracking where applicable
- Assist with progress billing and lien waiver documentation coordination
- Track subcontractor payments and support 1099 preparation at year-end
- Prepare and deliver monthly financial statement packages for each client, including P&L, balance sheet, and cash flow reports
- Provide clear, actionable financial summaries tailored to each client’s level of financial sophistication
- Flag variances, anomalies, or cash flow concerns proactively, so clients never discover problems on their own
- Support quarterly and year-end financial reporting, and coordinate with external CPAs or tax preparers as needed
Required Qualifications
- CPA license, or actively pursuing CPA licensure
- Advanced QuickBooks Online proficiency, including company setup, chart of accounts design, class and location tracking, bank feeds, reconciliation, and reporting
- Experience managing full-cycle bookkeeping for multiple clients simultaneously, across different industries
- Demonstrated construction bookkeeping and job costing experience — a core requirement given the client mix
- Strong attention to detail and a genuine commitment to accurate, clean financials
- Self-directed and organized: you manage your own workload, meet deadlines without being reminded, and flag issues proactively
- Strong written communication skills for client-facing financial summaries and correspondence
- Reliable remote setup with high-speed internet
Preferred Qualifications
- QuickBooks Online ProAdvisor certification, with Advanced ProAdvisor especially welcome
- Hands-on experience building WIP schedules and applying percentage-of-completion tracking
- Bookkeeping experience in oil and gas, or in service and retail businesses such as spa, salon, or wellness
- Experience preparing 1099-NEC filings and managing vendor W-9 collection
- Prior direct experience supporting US-based clients, or working inside a US accounting or CPA firm
- Familiarity with progress billing and lien waiver documentation workflows
- Comfort with US sales tax filing requirements
Tools & Software
- QuickBooks Online — the primary platform. Company setup, chart of accounts design, class and location tracking, projects, bank feeds, reconciliation, and reporting
- Microsoft Excel or an equivalent spreadsheet tool, for reconciliations, schedules, and client-facing summaries
- Microsoft Teams for day-to-day communication, and Microsoft OneDrive for document handling
- Hubstaff for time tracking during paid working hours
