Job Summary:
Provides administrative and clerical support to the contract management function. Responsible for accurate data encoding, contract filing and safekeeping, and monitoring of contract validity and renewals.
Prepares routine reports and Contract Requisition Slips (CRS), and performs related administrative tasks as assigned to keep contract records complete, orderly, and up to date.
Duties and Responsibilities:
A) Data Encoding & Records Management
- Encode contract details, supplier information, and related data into the contract database and tracking tools accurately and within set timelines.
- Maintain and update contract records to ensure completeness, accuracy, and easy retrieval.
- Verify encoded data against source documents to minimize errors and discrepancies.
B) Contract Filing & Documentation
- File, organize, and safekeep physical and digital copies of contracts, agreements, and supporting documents following approved filing standards.
- Retrieve and release contract documents to authorized personnel upon request.
- Observe confidentiality and proper handling of contract-related documents at all times.
C) Monitoring & Reporting
- Monitor contract validity, expiration, and renewal dates, and flag items requiring action to the supervisor.
- Prepare and consolidate routine monitoring reports, status trackers, and summaries on schedule.
- Update logs and trackers to reflect the current status of contracts and related transactions.
D) Administrative Support
- Prepare (CRS) and other required forms and documents for review and approval.
- Coordinate with concerned units to secure signatures, attachments, and supporting requirements.
- Perform general administrative tasks such as scanning, photocopying, and document routing, and other duties that may be assigned from time to time.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Office Administration, Supply Chain Management, or related field.
- Experience: At least one (1) year of experience in data encoding, records or document management, or administrative and clerical work, preferably in contracts, procurement, or logistics.
- Skills: Proficient in MS Office applications, particularly Excel and Word.
- Strong attention to detail, accuracy, and organizational skills.
- Good communication and coordination skills, with the ability to handle confidential documents with discretion.
- Able to work with minimal supervision and consistently meet deadlines.
- Willing to work fully onsite in Pinagbuhatan, Pasig (Mondays to Fridays, 8:30AM - 6:30PM).
