Our client is a multi-brand property services and insurance restoration company operating across nine distinct brands. They are hiring a Communications Coordinator to serve as the connective tissue between leadership, office staff, and field crews — ensuring that the right message reaches the right people, in the right format, at the right time.
This is not a social media or marketing role. It is an internal and operational communications role that demands strong writing instincts, sharp attention to format and tone, and the discipline to manage a communications calendar with consistency and care.
SharePoint Intranet Management
Serve as the primary owner of the company’s SharePoint intranet — maintaining structure, keeping content current, and ensuring employees can find what they need
Build and update intranet pages with a focus on clarity, navigation, and visual organization
Coordinate with department heads to ensure all posted content is accurate and up to date
Company-Wide Email Communications
Draft, format, and send company-wide announcements on behalf of leadership
Manage recurring communications including policy updates, company news, and operational notices
Ensure all written communications are polished, plain-language, and appropriate in tone for a diverse audience
Field Team Notifications
Communicate time-sensitive updates to field crews through platforms such as Connecteam or Beekeeper
Translate office-side decisions and operational changes into clear, mobile-friendly messages that field staff can act on
Maintain an awareness of what is happening across job sites and coordinate with project teams to keep communications accurate
Visual Formatting and Creative Support
Use Adobe Creative Cloud (InDesign, Illustrator, Photoshop) to format announcements, internal documents, and communications materials to a professional standard
Apply AI tools such as Claude, ChatGPT, and Microsoft Copilot to accelerate drafting and improve consistency
Ensure all visual and written communications reflect the company’s standards across all nine brands
Communications Calendar
Build and manage a communications calendar to plan recurring and one‑time announcements in advance
Coordinate timing and sequencing of communications to avoid overlap or confusion
Proactively identify upcoming events, deadlines, or operational changes that require advance communication
Experience and Background
2+ years of experience in an internal communications, marketing, or content coordination role
Demonstrated experience writing for a professional audience — announcements, policy communications, operational updates, or similar
Experience managing a content calendar, intranet platform, or internal knowledge base is strongly preferred
Familiarity with Adobe Creative Cloud — InDesign, Illustrator, and Photoshop specifically
Hands‑on experience with AI productivity tools (Claude, ChatGPT, Microsoft Copilot, or equivalent)
Experience using SharePoint for intranet or document management purposes is a strong advantage
Exposure to field communication platforms such as Connecteam or Beekeeper is a plus
Communication and Writing
Native or near‑native English proficiency — written and spoken; this is a non‑negotiable requirement
A natural instinct for plain language: the ability to take complex or technical information and rewrite it so any employee can understand it at a glance
Strong editorial eye: you catch grammar errors, inconsistencies, and formatting issues before anything goes out
Tone‑sensitive: you adapt your writing to the audience, whether that is executive leadership, office staff, or field crews working on a job site
Organization and Reliability
Able to manage a communications calendar and meet recurring deadlines without being chased
Comfortable working across multiple brands and departments without losing track of priorities
Discrete and professional when handling sensitive internal announcements
Proactive in flagging when a message needs review, approval, or additional context before it is sent

Schedule: Monday through Friday, 8:30 AM – 5:30 PM Eastern Time
