The Role

Full-cycle bookkeeping for Karnot Energy Solutions Inc. Monthly BIR filings, payroll, supplier and customer ledgers, project cost tracking, and clean monthly accounts to the Finance Manager and CEO. Reports to the Finance Manager.

This is a full-cycle bookkeeping role, not a data-entry position. You will own the accounts payable and receivable ledgers, reconcile bank accounts across entities, prepare monthly management accounts, handle BIR online filings (VAT, expanded withholding tax, and ITR), and support payroll processing with SSS, PhilHealth, and Pag-IBIG remittances. You will also track costs by project — critical for a business where each installation is a discrete revenue and cost centre.

As Karnot grows, this role can progress into a Finance Manager position with team responsibility. The Bookkeeper hired now is the person who hand-builds the finance function from the ground up. That is a significant and rare opportunity for the right candidate.

Key Responsibilities

• Maintain the general ledger for Karnot Energy Solutions Inc. (PH entity) in QuickBooks, Xero, or equivalent cloud accounting software
• Process accounts payable (supplier invoices, purchase orders) and accounts receivable (client invoicing, collections)
• Reconcile all bank accounts and credit card statements monthly
• Prepare and file BIR returns: monthly VAT (2550M/Q), expanded withholding tax (0619E), and annual ITR (1702)
• Support semi-monthly payroll processing and SSS, PhilHealth, and Pag-IBIG remittances
• Track project costs per installation — materials, labour, permits, logistics — against quoted budget
• Prepare monthly management accounts and cash flow summary for the CEO

Required Qualifications

• BS Accountancy or accounting diploma from an accredited Philippine institution
• 3 or more years full-cycle bookkeeping experience in a PH SME
• Proficient in QuickBooks, Xero, Sprout, or equivalent cloud accounting software
• Hands‑on experience with BIR online filing — eFPS or eBIRForms, monthly and annual returns
• Working knowledge of SSS, PhilHealth, and Pag-IBIG remittance schedules and online portals
• Organised and deadline‑driven — BIR filing deadlines are non‑negotiable

Preferred Qualifications

• Experience with project‑based cost accounting (construction, installation, engineering services)
• Familiarity with multi‑currency bookkeeping (PHP / USD on supplier and customer flows)
• CPA board‑passer (not required, but advantageous for progression to Finance Manager)
• Experience supporting an external auditor during annual audit
• Knowledge of BOI tax incentive documentation requirements

What accounting software does Karnot use?

Karnot is in the process of selecting a cloud accounting platform. Candidates with QuickBooks Online, Xero, or Sprout HR experience are preferred — all three are under consideration. The Bookkeeper hired will have input into the final platform selection, which will then be set up and owned by them. If you have a strong preference or expertise in one platform, mention it in your application.

How are project costs tracked?

Each Karnot project has a unique project code. All materials purchased, labour costs, permit fees, freight, and installation costs are coded to the project at the time of booking. Monthly project cost reports compare actual spend to the quoted budget and flag overruns. This project cost data feeds into the CEO's project margin analysis and future pricing decisions. A candidate who understands job costing (as used in construction or engineering services) will adapt quickly.

Is this a CPA role?

No — a full CPA is not required for the Bookkeeper position. BS Accountancy or an accounting diploma with solid practical experience is sufficient. A CPA board‑passer is preferred for the progression path to Finance Manager. Karnot will support continuing professional development, including CPA review if the candidate is working towards the board exam.
