Chicken Dinner Studios is seeking a proactive Booking Coordinator to own end-to-end scheduling, reservations, and logistics. You will design SOPs, optimise workflows, and lead process improvements with minimal direction.

As a Booking Coordinator, you will take complete ownership of our scheduling, reservation, and logistical ecosystems. We are looking for a proactive, self-directed professional who doesn't wait for directions—someone who actively anticipates operational bottlenecks, manages their own workload with high efficiency, and drives continuous improvement across our processes.
Beyond day-to-day coordination, you will act as a working leader and process architect. You will design, document, and refine Standard Operating Procedures (SOPs) and optimize workflows to ensure our reservation systems scale smoothly. Autonomous Operations & Workload Management: Take end-to-end ownership of scheduling workflows, processing incoming requests, appointments, and travel arrangements with zero micromanagement. Prioritize daily tasks proactively based on business impact.
Process Design & SOP Creation: Take the lead in documenting, updating, and introducing new Standard Operating Procedures (SOPs) to standardize booking protocols and onboarding materials.
Workflow Optimization: Continuously audit existing reservation pipelines, identify operational friction points, and implement streamlined solutions using modern tech stacks.
Complex Calendar & Resource Coordination: Manage intricate, multi-layered calendars and allocate resources meticulously to completely eliminate double-booking or scheduling conflicts.
Proactive Client & Team Communication: Handle customer inquiries, confirmations, cancellations, and changes with professionalism, while serving as a reliable point of contact for internal teams.
Data Integrity & Tracking: Maintain pristine, organized records, tracking metrics, and client logs using CRM software, property management systems (PMS), or spreadsheets.
Leadership & Influence: Guide cross-functional stakeholders on scheduling best practices, mentor incoming team members on operational workflows, and champion process adoption.
High Autonomy & Initiative: A self-starter who thrives independently, anticipates needs before they arise, and takes full accountability for results without needing constant direction.
Leadership & Process Mindset: Demonstrated experience in process improvement, workflow optimization, and authoring clear, scalable Standard Operating Procedures (SOPs).
Exceptional Time & Workload Management: Proven ability to balance multiple shifting priorities, manage high-volume tasks, and excel in fast-paced, high-stakes environments.
Technical Proficiency: Advanced familiarity with productivity, collaboration, and management tools, including ClickUp, Google Workspace, Slack, and Box.
Communication Skills: Exceptional verbal and written English proficiency, enabling you to lead conversations, manage stakeholder expectations, and write clear, concise documentation.
Problem-Solving Ability: A calm, analytical approach to troubleshooting last-minute crises or complex logistical roadblocks autonomously.
