Role Overview

This is not your typical Accounts Receivable role where the associate simply collects outstanding balances. Working with our client in the Australian Education sector, you will balance financial accuracy with high emotional intelligence. You will be responsible for ensuring accurate billing, navigating complex government subsidy guidelines, and working empathetically with families to resolve overdue balances before care is impacted.

Core Responsibilities

• Conduct thorough account reviews before initiating any collection actions.
• Verify government payments, confirm applicable discounts, and audit child attendance records.
• Ensure strict compliance with Child Care Subsidy (CCS) guidelines and Services Australia requirements.
• Process and issue invoices to parents and clients, ensuring timely and accurate billing.

Empathetic Collections & Customer Care

• Enforce the policy requiring families to pay childcare fees one week in advance, utilizing critical thinking and sound judgment.
• Investigate the underlying reasons for overdue balances and assess whether any government payments or account adjustments are still pending prior to recommending care suspension.
• Communicate with families professionally and empathetically, recognizing the serious potential impact that suspension of care may have on a family's ability to work.
• Respond to billing and general operational inquiries from parents and clients, providing clear, compassionate, and professional support.

Operational Support & Process Improvement

• Review weekly payment schedules and manage the processing of Direct Debit disputes.
• Maintain accurate records of payments, outstanding balances, and account reconciliations.
• Adapt to a dynamic, evolving environment by collaborating with the finance team to develop new processes and best practices that support the Australian Education sector.
• Perform general administrative tasks, including document management, data entry, correspondence, and other ad-hoc duties to support the childcare centre operations.

Profile Requirements

• Experience: Previous experience in billing, accounts receivable, or complex collections. Experience within the childcare or education sector is highly preferred.
• Analytical & Empathetic Mindset: Proven ability to apply critical thinking and high emotional intelligence to resolve financial disputes and sensitive customer situations.
• Industry Knowledge: Understanding of Australian childcare funding, Child Care Subsidy (CCS) programmes, and Services Australia requirements (highly preferred).
• Technical Skills: Proficiency in accounting software (e.g., Xero, MYOB, or QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook). Strong grasp of invoicing, payment tracking, and financial reconciliation.
• Adaptability: Highly adaptable and comfortable working in a fast-paced, evolving environment where processes are actively being developed.
• Work Style: Excellent organizational skills, strong attention to detail, and the ability to work independently to meet tight deadlines.
