The Bid Manager owns the end-to-end bid, proposal, RFP/RFQ/RFI, and SOW response process for the CX Technology Practice. The role coordinates inputs from pre-sales, delivery, architecture, business analysis, pricing, finance, legal, and leadership to produce client-ready submissions that are complete, compliant, consistent, and commercially sound.
This role is also responsible for improving bid operations through reusable content, standard templates, response libraries, compliance matrices, and LLM-assisted proposal generation in partnership with the Internal Automation & AI Team.
Key Responsibilities
- Own the full lifecycle of RFP, RFQ, RFI, proposal, and SOW submissions from intake to final delivery.
- Review client requirements and create the bid plan, response schedule, responsibility matrix, compliance checklist, and submission tracker.
- Coordinate and chase inputs from Senior Pre-Sales, Delivery SME, Technical Architects, Business Analysts, PMO, Product Development, QA, Finance, Legal, and other SMEs.
- Build and maintain proposal structures, executive summaries, solution narratives, assumptions, dependencies, exclusions, delivery methodology, team model, and transition approach sections.
- Ensure responses are aligned to the client requirement, scope, commercial model, delivery capability, risk posture, and company standards.
- Manage clarification questions, response logs, document version control, review cycles, approval routing, and final submission packaging.
- Support SOW development by ensuring scope, deliverables, acceptance criteria, timelines, assumptions, responsibilities, and change-control language are clearly documented.
- Maintain a reusable content library for standard company profiles, case studies, delivery methodology, architecture references, staffing models, governance approach, security responses, and platform capability descriptions.
- Partner with the Internal Automation & AI Team to improve LLM-assisted drafting, proposal QA, content retrieval, and standardization of bid materials.
- Track bid outcomes, lessons learned, reusable improvements, and recurring gaps in proposal content or estimation inputs.
Success Measures
- Proposal and SOW submissions are delivered on time with minimal rework.
- Compliance matrix and mandatory client requirements are fully addressed.
- Proposal content is consistent across technical, commercial, operational, and contractual sections.
- Pre-sales and delivery SMEs spend less time on administrative proposal assembly and more time on solution quality.
- Reusable proposal content library is maintained and actively used across bids.
- Bid risks, assumptions, dependencies, and exclusions are clearly surfaced before submission.
Required Skills and Experience
- Experience managing RFP, RFQ, RFI, proposal, or SOW processes in a technology services, CX, CRM, SaaS, BPO, or consulting environment.
- Strong written communication skills with the ability to turn technical and operational inputs into clear client-facing proposal language.
- Strong coordination, follow-through, and deadline management across multiple stakeholders and time zones.
- Ability to read client requirements, identify mandatory response items, and build practical compliance trackers.
- Working knowledge of commercial proposal components such as scope, assumptions, exclusions, pricing inputs, delivery models, and acceptance criteria.
- Proficiency with Microsoft Word, PowerPoint, Excel, Teams/SharePoint, and proposal document management practices.
- Comfortable using AI-assisted drafting tools while applying human review, accuracy checks, and quality control.
Preferred Qualifications
- Experience in Zendesk, Salesforce, ServiceNow, Genesys, NICE, Amazon Connect, CRM, CCaaS, AI agent, analytics, or integration-related proposals.
- Experience supporting regional or global bids with multiple reviewers and sign-off layers.
- Familiarity with managed services, implementation delivery, product development, and support transition models.
- Experience building bid libraries, templates, proposal automation, or AI-assisted content repositories.
- The Bid Manager owns bid process, coordination, quality, and submission readiness; the Senior Pre-Sales Consultant owns solution positioning and client-facing solution strategy.
- The Bid Manager does not independently approve solution design, commercial pricing, or delivery commitments without the appropriate SME and leadership sign-off.
- The role should enforce structure and quality, not become the sole author for every technical response.
