Job summary

OptimalBooks is seeking an Assistant Team Leader (Management Level) to supervise a group of Assistant Property Managers and drive service quality for North American clients. You will train, coach, and develop the team while aligning performance with client expectations.

You will collaborate with senior management to report on KPIs, optimize processes, and implement new tools. A proactive leader is preferred to thrive in a fast-paced remote environment.

Qualifications

• 3+ years of property management or real estate experience.
• Experience using property management software like AppFolio, Buildium, Yardi, or Rent Manager.
• Strong communication and client-facing skills.
• Proactive, organized, and detail-oriented.
• Comfortable working independently in a fast-paced environment.

Responsibilities

• Oversee daily team operations and ensure tasks are completed accurately and on time.
• Review end-of-shift reports to track productivity and workload.
• Act as main contact for team members, providing guidance and support.
• Coach and mentor team members through regular check-ins and feedback.
• Lead onboarding and training of new hires and support ongoing development.
• Work with U.S. clients to review deliverables and identify opportunities.
• Assist clients with system improvements and new tools.
• Prepare weekly and monthly performance reports.
• Update SOPs, templates, and training materials.
• Ensure compliance with policies, quality standards and risk controls.
• Support performance evaluations and development planning.
• Escalate risks or issues to management when necessary.
