Job summary

Hellmann Worldwide Logistics in the Philippines is seeking a Controlling Operations Associate to support accurate controlling operations through meticulous administrative tasks and proactive process improvements.

You will focus on import/export coordination, ensuring timely freight bookings, documentation, and effective communication with customers, partners, and carriers to maintain high service levels.

• Strong attention to SOPs and process compliance.

Responsibilities

• Focus on customer needs and requirements as a priority.
• Pro-actively inform customer about any irregularities and provide alternative solution.
• Read and follow instructions defined in customer specific SOP's.
• Organize the day-to-day running of specific import/export operational duties.
• Coordinate import/export shipments with local and overseas customers, airlines/carriers, sub-contractors, agents and truckers.
• Liaise with departments, third-party carriers, forwarders and agencies for duties execution.
• Prepare and manage documents related to import/export consignments.
• Monitor daily import/export shipment and delivery requirements.
• Attend to designated destination export documents via the Hellmann Freight TMS system.
• Maintain latest customer contact to ensure quality service.
• Monitor and report consignments within destinations and overseas sources as applicable.
• Ensure completion of all consignments from booking to international transportation and accounting.
• Pursue continuous improvement to enhance ocean/air freight processes and service levels.
• Become conversant with regulations and laws of designated countries served.
• Be aware of duties related to legal import/export movement of hazardous goods.
• Support country system roll-out.
• Assist onboarding of new customers, review SOPs and provide proactive feedback.
• Issue internal/external invoices according to agreed rates and services.
