Job summary

NextGen Executive Solutions is seeking a highly organized Sales Assistant to support day-to-day sales operations in a fast-paced agricultural production and distribution environment in Cebu.

You will coordinate between clients, sales, production and logistics, prepare quotations and delivery documents, update customer databases, and assist the Sales Manager with daily, weekly and monthly performance reports. The role requires on-site work in Sogod, Cebu, and a proactive, detail-oriented approach.

Qualifications

• Bachelor’s Degree in Business Administration, Marketing, Management, or related field
• Experience in sales support, customer service, logistics coordination, or administrative roles is an advantage
• Strong communication and interpersonal skills, both written and verbal
• Proficient in Microsoft Office (Excel, Word) and Google Workspace tools
• Excellent organizational skills with strong attention to detail and accuracy
• Ability to multitask, prioritize, and work effectively under pressure in a dynamic environment
• Willingness to work on-site in Sogod, Cebu

Responsibilities

• Assist in preparing and processing quotations, sales orders, invoices, and delivery documents
• Coordinate customer orders with production, harvesting, and delivery teams to ensure accurate and timely fulfillment
• Monitor order status and provide regular updates to clients and internal departments
• Maintain and update customer databases, sales records, and transaction histories
• Support the Sales Manager in tracking daily, weekly, and monthly sales performance and reports
• Handle customer inquiries via phone, email, and messaging platforms in a timely and professional manner
• Coordinate with clients regarding order status, deliveries, payments, and after-sales concerns
• Ensure excellent customer service by maintaining clear, consistent, and professional communication
• Assist in resolving basic client concerns and elevate complex issues to the Sales Manager when needed
• Organize, encode, and maintain all sales-related documents and files accurately
• Prepare internal reports, presentations, and sales summaries as required
• Assist in scheduling meetings, client visits, and delivery arrangements
• Ensure completeness and accuracy of all sales and operational documentation before filing
• Liaise with production and warehouse teams to confirm product availability
• Monitor pending orders, delivery schedules, and stock movement related to sales activities
• Ensure proper coordination of order quantities and dispatch documentation
