VA Masters is seeking a meticulous Marketing & CRM Assistant to own our B2B contact database and support email marketing and website operations. You will perform data enrichment, audit and refine email flows, and help keep our site accurate and search-friendly.

The role requires careful attention to detail, comfort working independently, and strong English communication. You will leverage AI tools to speed up research while ensuring accuracy and quality across CRM and marketing tasks.

Qualifications

• Proven data research and CRM enrichment experience.

• Working knowledge of WordPress and basic on-page SEO.

Responsibilities

• Research and enrich our B2B partner database by visiting company websites and completing missing fields such as website URL, email address, phone number, location, and product range.
• Maintain and organize the CRM spreadsheet so records stay clean, consistent, and up to date.
• Use AI tools to speed up research while verifying accuracy of every entry.
• Audit our existing email automation sequences end to end, checking links and content.
• Test email templates for proper display on mobile and desktop, and fix formatting issues.
• Support improvements to email flows, segmentation, and subscriber journeys.
• Implement on-page SEO improvements on our website, including metadata and image optimization.
• Upload and format new product content with correctly sized images.
• Add and manage customer reviews on product pages to improve credibility and SEO.
• Build clean, professional PDF presentations for new product launches.

Job Summary:

We're delighted to bring on a detail-driven Marketing & CRM Assistant to take ownership of our B2B contact database and support our email marketing and website operations. This role combines research-heavy data enrichment with hands-on marketing execution — cleaning and completing our retailer CRM, auditing and refining our email automation flows, and helping keep our website accurate and search-friendly. The ideal candidate is meticulous, resourceful, and comfortable working independently on tasks that require accuracy over speed.

Key Responsibilities:

• Research and enrich our B2B partner database by visiting company websites and completing missing fields such as website URL, email address, phone number, physical location, and product range

• Maintain and organize the CRM spreadsheet so records stay clean, consistent, and up to date

• Use AI tools intelligently to speed up research while verifying accuracy of every entry

• Audit our existing email automation sequences end to end, checking that all links work and content is correct

• Test email templates for proper display on both mobile and desktop, and fix formatting issues

• Support ongoing improvements to email flows, segmentation, and subscriber journeys

• Implement on-page SEO improvements on our website, including metadata, image optimization, and content details

• Upload and format new product content, ensuring images are correctly sized and consistently presented

• Add and manage customer reviews on product pages to strengthen credibility and search visibility

• Build clean, professional PDF presentations for new product launches

Mandatory Skills:

• Proven experience with data research and database or CRM enrichment work

• Strong Excel or Google Sheets skills, including working with large lists

• Hands-on experience with an email marketing platform such as Omnisend, Klaviyo, Mailchimp, or similar

• Working knowledge of WordPress, including product/content updates and basic on-page SEO

• Comfortable using AI tools to assist research while independently verifying results

• Excellent attention to detail and a high standard for accuracy

• Reliable, detail-oriented, and able to work independently with minimal supervision

• Strong written and verbal communication skills in English

Preferred Skills:

• Experience with Omnisend specifically

• Background in B2B lead research, list building, or retailer/distributor databases

• Basic design skills for creating PDF presentations or sales one-pagers (Canva, Adobe, or similar)

• Familiarity with WooCommerce or other WordPress e-commerce setups

• Understanding of email deliverability and automation funnel best practices

• Ability to manage multiple projects simultaneously and prioritize independently
