Job summary

APL Logistics Ltd in Pasig City, Metro Manila, invites an experienced facilities and administration professional to oversee facilities management, contract management procurement and supplies, asset management, record management, fleet management and executive administration.

You will coordinate permits, insurance, vendor management, budgeting, and ensure smooth operations across all locations, reporting to the Global Business Services Head.

Job description

This position is responsible in all activities pertaining to Facilities Management, Contract Management Procurement and Supplies, Asset Management, Record Management, Fleet Management, Executive Administration and other related work.

Facilities Management

• Facilitates office business permit application and renewals (all locations)
• Property insurance- reviews coverage, application and renewals, documentations, claims
• Courier services- monitors mails, import and exportation of parcels
• Housekeeping- supervision of contracted utilities and office upkeep
• Facility maintenance and repair

Contract Management

• Contract renewals
• Security Services
• Utility Services
• Vehicle Leasing

Procurement and Supplies

• Preparation and management of G&A budget for whole admin
• Overseas purchasing of supplies
• Vendor maintenance preparation
• Invoice review, preparation of PO through SAP and payment monitoring for the following
  • office supplies
  • manpower services (security & janitorial)
  • all leases (office, equipment, vehicle)
  • insurance (property & vehicle)
  • utilities
  • vehicle repairs
  • professional charges
  • record storage
  • courier
  • all other admin expenses including finance
• Preparation and management of Capital or Operating expenses (all locations)
  • project development (renovations, construction, leases)
  • preparation of RFF (request for fund)
  • monitoring of project on hand
  • ensure smooth turn over from vendor
  • coordinates closure of project with corporate team

Asset Management

• Inventory of asset
  • preparation of RFD (request for disposal)
  • coordination with corporate on Fixed asset clean up

Fleet Management

• Lease management
• Comprehensive insurance- review of coverage, application and renewal, documentations, claims

Others

• Coordination with Local legal on contract reviews within my scope
• Travel arrangements for incoming and outgoing employees
• Hotel accommodations
• Assist on visa preparation of traveling employees
• Facilitates preparation of Visa invites for incoming guests where needed
• Assists the Global Business Services Head in all aspects
