Shore360 is seeking an Admin Officer to support the local Philippine office with invoicing, data entry, and general bookkeeping tasks. The role emphasizes accuracy, organisation, and timely handling of routine duties while interacting with Australian teams in English.

The Admin Officer will provide general administrative, invoice processing, and bookkeeping support to the local office. The role will primarily involve invoice data entry and processing, maintaining accurate records, general administrative tasks, and assisting with month-end requirements.
The role requires strong attention to detail, accuracy, organisation, and the ability to complete routine tasks efficiently and within required deadlines. The successful candidate will also interact with teams and departments in Australia, so strong written and spoken English communication skills are required.
Manage shared administrative inboxes and allocate invoices and tasks as required.
Code supplier, freight, destination agent, and contractor invoices in GCS/Oasis.
Prepare and send coding slips and supporting documentation to Accounts Payable.
Raise purchase orders (POs) where required.
Process urgent and ad-hoc invoices, staff reimbursements, and disbursements.
Assist with petty cash reconciliation.
Process credit notes, cost transfers, and manual invoices as required.
Follow up on missing or incorrect invoices and assist with supplier queries.
Process recurring costs, including fuel, tolls, WiseTech/CargoWise, and other branch charges.
Raise CAPEX requests and assist with payment processing.
Run and follow up on weekly uninvoiced reports.
Assist with sales and credit invoicing.
Process invoice and credit note postings.
Follow up on outstanding job information and invoicing exceptions.
Assist with customer refunds and payment-related queries when required.
Assist with accrual reports and related checking.
Provide support for Work in Progress (WIP) activities.
Assist with month-end requirements and related administrative tasks.
Assist with packing stocktake and reconciliation with warehouse records.
Review GL/detail transactions and follow up on outstanding items.
Maintain supporting documentation required for month-end activities.
Maintain fleet-related records and assist with registrations and fines where required.
Maintain registers, spreadsheets, and supporting documentation.
Assist branch and operations teams with routine administrative queries.
Provide backup and cross-coverage support across branches and regions.
Assist with other general administrative and bookkeeping tasks as assigned.
At least 2 years of relevant administrative, accounting, bookkeeping, Accounts Payable, or invoice processing experience.
Experience with invoice processing, data entry, financial records, or general administrative tasks.
Basic understanding of Accounts Payable and accounting processes.
Strong written and spoken English communication skills, with the ability to communicate effectively with Australian-based teams and departments.
Good organisational and time-management skills.
Ability to handle confidential financial information.
Proficiency in Microsoft Excel and other accounting or office productivity tools.
Willingness to work on a 3-month project initially.
