About the role

We are looking for a reliable and service-oriented Customer Service Representative (CSR) / Dispatcher to support our transportation operations. In this hybrid role, you will be responsible for coordinating trip assignments, dispatching drivers, and providing exceptional customer support. The ideal candidate is calm under pressure, highly organized, and passionate about helping people—especially those who depend on our non-emergency medical transportation services. This position plays a critical part in ensuring timely, safe, and efficient service to our clients.

Key responsibilities

• Answer inbound calls from clients, caregivers, and facilities to schedule, confirm, or update transportation appointments
• Dispatch drivers based on route efficiency, trip urgency, and availability
• Monitor vehicle locations and trip progress using dispatch software or GPS tracking systems
• Communicate clearly and professionally with drivers to provide real-time updates or changes
• Resolve service delays, trip cancellations, or vehicle breakdowns promptly and appropriately
• Document all client communications, trip adjustments, and incidents in the system
• Verify trip eligibility, addresses, and client needs (e.g., wheelchair access)
• Coordinate with operations, billing, and call center teams to ensure accurate information sharing
• Maintain calm and efficiency during high-call-volume or time-sensitive situations
• Ensure compliance with all company protocols, HIPAA regulations, and safety standards

About you

• At least 2 years of experience in customer service, dispatch, transportation coordination, or a related role
• Strong verbal and written communication skills
• Basic proficiency in Microsoft Office (Word, Excel, Outlook) and dispatching or call center software
• Ability to multitask, prioritize, and work well under pressure
• Willingness to work flexible shifts, including weekends or evenings, if needed
