Brenton International Venture Manufacturing Corporation (BIVMC) seeks an Admin & Facilities Officer to provide administrative and executive support while overseeing office operations, supplies, and workplace facilities.

The role involves managing schedules and travel, coordinating meetings and events, handling correspondence, and ensuring OHSE compliance, 5S initiatives, and cost tracking for the CHROD team.

Qualifications

  • Bachelor’s degree in Commerce, Marketing, Office Administration, or a related field.
  • At least 1 year of relevant work experience preferred.
  • Graduate studies are an advantage but not required.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Knowledge of standard office administrative practices and procedures.
  • Strong communication, organizational, planning, and computer skills.
  • Highly organized, reliable, proactive, motivated, and detail-oriented.
  • Able to handle confidential information with discretion.
  • A team player who demonstrates commitment and resilience.

Responsibilities

  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Arrange and coordinate meetings, events, and other company activities.
  • Receive and direct telephone calls, messages, visitors, and clients.
  • Manage incoming and outgoing correspondence and maintain accurate records and files.
  • Prepare reports and ensure timely submission to the appropriate supervisor or management.
  • Monitor office billings and ensure payments are processed before their due dates, subject to proper approval.
  • Provide general administrative support to the CHROD team, including scheduling meetings, preparing reports, organizing files, and other related tasks.
  • Coordinate with internal and external contacts to ensure proper follow-up and execution of planned activities.
  • Oversee office inventory, stationery, and utility supplies.
  • Monitor the daily activities of utility personnel.
  • Manage office facilities, equipment, and maintenance tracking, including air-conditioning units, office lights, signages, and other workplace facilities.
  • Ensure common areas, boardrooms, and restrooms are clean, orderly, and properly maintained.
  • Ensure necessary restroom supplies such as handwash and toilet paper are available.
  • Assist in the planning and implementation of company events.
  • Coordinate with Operations regarding safety activities and compliance.
  • Coordinate with Corporate Planning regarding OPEX planning and tracking for executives.
  • Support the implementation of 5S and workplace organization initiatives.
  • Participate in Occupational Health, Safety, and Environment (OHSE) programs.
  • Coordinate with OHSE in the implementation of workplace health programs.
  • Help ensure safety compliance of personnel within the assigned area.
