GrowthAssistant LLC is hiring an Ad Operations Specialist to own the ad build pipeline across a 30-brand portfolio and QA builds in Meta and TikTok Ads Manager before launch.

You will manage ClickUp tasks, monitor submissions, prioritize builds by launch dates, and lead the QC review process to ensure accuracy of placements, URLs, tracking, and naming conventions across platforms.

Qualifications

• 1–3+ years of experience in ad operations, paid social trafficking, or media coordination.
• Hands-on experience building or QC'ing campaigns in Meta Ads Manager and TikTok Ads Manager; Snapchat Ads Manager a plus.
• Comfort working inside project management tools (ClickUp preferred) to manage high task volume across multiple brands.
• Attention to detail and proactive communication to flag issues early.
• Ability to work independently across a large portfolio of brands with competing deadlines.
• Proficient with Google Sheets/Excel for naming conventions and reporting.

The Opportunity

We're hiring an Ad Operations Specialist for a fast-growing performance marketing agency — owning the ad build pipeline across a 30-brand portfolio in ClickUp, and QA'ing every build directly in Meta and TikTok Ads Manager before it goes live.

What Your Day-to-Day Will Look Like

• Task & Workflow Management: Own and manage incoming ad build tasks on the ClickUp board across a 30-brand portfolio, moving tasks through the full build pipeline (Requests Submitted → Content Logged → Staging → Staging Review → Ready to Build → In Progress → QC Review → Revision loop as needed → Approved).
• Submission Monitoring: Monitor incoming requests and flag/follow up on incomplete submissions before they stall the pipeline; confirm content is fully and correctly logged before it advances to staging.
• Build Prioritization: Prioritize and sequence build tasks based on launch dates, campaign priority, and platform requirements, keeping task statuses, due dates, and assignments current for full pipeline visibility.
• QC Review Ownership: Own the QC Review stage, including managing the revision loop — re-reviewing builds after they're kicked back until they're ready for approval — and flagging bottlenecks, missing assets, or unclear briefs before they become launch-day fire drills.
• Ad Build QC: Review completed ad builds directly on-platform (Meta Ads Manager, TikTok Ads Manager, and potentially Snapchat Ads Manager) to confirm they match the brief/spec — placements, creative, copy, destination URLs, tracking parameters, targeting, budget, and campaign structure — catching and correcting errors before ads go live.
• Platform Fluency: Maintain a working knowledge of each platform's spec requirements and stay current as platform requirements change.
• Naming Convention QC: Review and QC ad names logged in the naming tool spreadsheet against each brand's naming convention, verifying correct use of dropdown-based fields and custom/manual inputs (brand, campaign type, creative concept, date, platform, audience, etc.).
• Data Cleanliness: Identify and flag naming inconsistencies before they propagate through reporting and reduce data cleanliness downstream.

What You Bring

• Experience: 1–3+ years of experience in ad operations, paid social trafficking, or media coordination (agency experience strongly preferred).
• Platform Proficiency: Hands-on experience building or QC'ing campaigns in Meta Ads Manager and TikTok Ads Manager; Snapchat Ads Manager experience a plus.
• PM Tool Fluency: Comfort working inside project management tools (ClickUp experience preferred) to manage high task volume across multiple brands.
• Attention to Detail: Defined by catching the small things — a mismatched URL, an incorrect naming field, a missing UTM — before they become a client-facing problem.
• Independence Across Volume: Ability to work independently across a large portfolio of brands with competing deadlines.
• Proactive Communication: Clear, proactive communication style — flagging issues early rather than after the fact.
• Spreadsheet Skills: Comfortable with spreadsheets (Google Sheets/Excel) for naming convention QC and reporting.

Bonus Points if:

• You have experience with staging/asset management platforms (e.g. Atria).
• You have experience with ad naming taxonomy tools or UTM governance.
• You have familiarity with Shopify, Klaviyo, or other martech commonly layered on top of paid social.
• You have prior experience supporting a multi-brand or multi-client agency portfolio.
