Job summary

Ubiquity is seeking a detail-oriented Accounts Payable Specialist to manage full-cycle AP, vendor onboarding, and process design. You’ll ensure timely payments, maintain strong vendor relationships, and drive efficient workflows within a fast-paced environment.

Ideal candidates have hands-on AP experience, excel in process improvement, and can handle high invoice volumes with accuracy while supporting month-end and audit activities.

Qualifications

• 3+ years of hands-on accounts payable or general accounting experience.
• Vendor onboarding experience, including collection and verification of tax documents.
• Design and implementation of AP processes with dual-approval controls.
• Strong understanding of procure-to-pay, 3-way matching, and AP workflows.
• Proficiency in Excel/Google Sheets for data reconciliation and reporting.
• Excellent organizational and time-management skills with attention to detail.
• Clear written and verbal communication abilities.

Responsibilities

• Process and review vendor invoices for accuracy, coding, and approvals.
• Design and maintain end-to-end AP processes with dual-approval controls.
• Manage vendor onboarding and verification of required documentation.
• Prepare and execute weekly and ad hoc payment runs (ACH, wire, check, cards).
• Reconcile AP sub-ledger to GL monthly and resolve discrepancies.
• Handle 1099 reporting and year-end filings; respond to vendor inquiries.
