JOB TASK, DUTIES, AND RESPONSIBILITIES
1. Revenue & Receivables Management (B2B & B2C)
- Managing the diverse collection cycles of major retailers and company-owned outlets is the highest priority.
- Key Account Reconciliation: Managing the complex billing requirements of major supermarkets and international food chains, often involving volume discounts and listing fees.
- Company Store Audits: Verifying daily cash remittances and point-of-sale (POS) reports from company-owned retail outlets to ensure zero leakage.
- Credit Control: Monitoring the aging of accounts for distributors and institutional clients, ensuring that credit limits are strictly enforced to protect cash flow.
2. Cost Accounting & Production Analysis
- In a manufacturing plant, the Accounting Officer must accurately track the "Cost of Goods Sold" (COGS).
- Waste & Yield Monitoring: Analyzing "Dough Scrap" or production losses. High waste levels directly impact margins; the Accounting Officer flags these variances for the production team.
- Customization Costing: Working with the Sales Officer to price customized products for key accounts, ensuring that specialized packaging or formulations remain profitable.
3. Inventory & Supply Chain Finance
- Perishable Asset Management: Implementing strict valuation for raw materials and finished goods, recognizing that bread products have an extremely short shelf life and high obsolescence risk.
- Procurement Oversight: Matching purchase orders (POs)with receiving reports for industrial-scale ingredients, ensuring all suppliers meet the financial documentation requirements for SMETA or other ethical audits.
- HACCP/GHP Support: Budgeting for and tracking expenses related to food safety compliance, such as Audit fees, PPE, sanitation chemicals, and mandatory laboratory testing.
4. Financial Reporting & Compliance
- Tax Compliance: Managing VAT filings and withholding taxes, particularly important when dealing with international food chains and large corporate entities.
- Audit Readiness: Preparing all financial ledgers for annual external audits and periodic 3rd-party business audits (such as those scheduled by major retail partners).
- Cash Flow Forecasting: Predicting weekly cash requirements to ensure the plant can maintain continuous production and meet payroll for a large manufacturing workforce.
5. Payroll & Administrative Finance
- Labor Cost Analysis: Managing payroll for multiple shifts (essential for 24-hour operations) and analyzing overtime costs against production output.
- Asset Management: Maintaining the depreciation schedule for heavy machinery, delivery trucks, and temperature-controlled storage units.
