HAVE WHAT IT TAKES TO BE OUR REGISTRY COORDINATOR?

  • 3–5 years of experience in a similar role, preferably within Registry, academic administration, student services, assessment administration, or a related higher education function.
  • Experience working in a college or university environment is highly preferred.
  • Advanced proficiency in Microsoft Excel, with the ability to maintain detailed trackers, manage and validate data, analyse information, and produce accurate reports.
  • Experience working with learning management systems (LMS), particularly Canvas, is highly preferred. Candidates should be comfortable navigating academic technology platforms and adaptable to learning new systems.
  • Experience working in a blended customer service and administrative environment.
  • Bachelor's degree in Education, Office Administration, or related field.
  • Experience working across multiple systems, databases, and online platforms.
  • Strong organisational skills with exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to manage competing priorities, work independently, and consistently meet deadlines.
  • Highly adaptable and flexible, with the ability to respond effectively to changing priorities, processes, systems, and responsibilities.
  • Strong problem-solving skills and the ability to develop practical solutions to administrative challenges.
  • Ability to handle confidential and sensitive academic information with professionalism and discretion.
  • Strong customer service mindset with the ability to provide timely, accurate, and professional support to students and academic staff.

DAY IN THE LIFE OF A REGISTRY COORDINATOR
(HYBRID WORK EDITION!)

Student Support & Communication

  • Respond to student enquiries through Registry mailboxes regarding programme structures, credits, assessments, academic policies, and related processes.
  • Provide timely, accurate, and professional support to students through weekly online office hours.
  • Support students in understanding relevant Registry processes and academic requirements.
  • Participate in student induction activities and tutorial sessions for new enrolments.
  • Escalate complex or academic matters to the appropriate academic or senior Registry colleagues.

Assessment Administration & Tracking

  • Track student assessment submissions and marking progress through Canvas.
  • Ensure assessment submission folders are correctly configured, accessible, and available to students.
  • Monitor assessment activity and follow up on administrative issues affecting submissions or marking.
  • Maintain and update detailed Registry Excel trackers, including submission counts, marking progress, and assessment statistics.
  • Support assessment and reassessment tracking at the end of each academic term.
  • Maintain accurate assessment records and documentation in accordance with Registry procedures.

Learning Management System Oversight

  • Monitor Canvas and other learning management systems to ensure assessment folders are created on time and configured correctly.
  • Check course settings and student access to relevant learning materials and assessment areas.
  • Troubleshoot student access and enrolment issues and coordinate with relevant teams to resolve platform-related concerns.
  • Support accurate student enrolment across relevant courses and learning platforms.
  • Quickly learn and adapt to new LMS features, systems, and academic technology as required.
  • Identify recurring platform or access issues and contribute to improvements in administrative processes.

Academic Records & Student Progression

  • Use University systems to manage and review course IDs, programme structures, and academic records.
  • Support the accurate processing and review of student progression to the next academic level.
  • Assist with progression into dissertation stages and other key points in the student academic journey.
  • Support credit mapping and validation activities, ensuring information is accurate and appropriately recorded.
  • Maintain up-to-date academic records and documentation to support progression and Registry processes.
  • Coordinate with Finance regarding student charges associated with retakes, prolongation, and other academic activities.
  • Support the accurate communication of relevant financial obligations to students.
  • Respond to routine student queries regarding charges and liaise with Finance to clarify account-related matters.
  • Ensure Registry and Finance information is appropriately aligned when supporting academic processes with financial implications.

Examination Boards & Academic Governance

  • Prepare documentation and administrative materials for quarterly Examination Boards.
  • Compile relevant information relating to extenuating circumstances, academic appeals, and academic misconduct allegations.
  • Ensure board documentation is complete, accurate, and prepared within required timelines.
  • Support the maintenance of records and documentation arising from academic governance processes.
  • Handle sensitive and confidential academic information with discretion and in accordance with University policies and procedures.
  • Maintain accurate Registry records, trackers, databases, and supporting documentation.
  • Use advanced Excel skills to analyse, validate, organise, and report academic and assessment data.
  • Perform data checks to identify inconsistencies and support the accuracy of academic records.
  • Work confidently across multiple systems and databases to ensure information is correctly maintained and updated.
  • Identify opportunities to improve Registry processes, systems, and workflows.
  • Develop practical and effective administrative solutions to improve the student and staff experience.
  • Work collaboratively with Registry, Academic, Finance, IT, and other internal teams to support effective academic administration.
  • Build positive working relationships with students, faculty, and professional services colleagues.
  • Maintain a flexible and adaptable approach when priorities and responsibilities change.
  • Contribute to a professional, supportive, and student-focused working environment.
  • Undertake other duties appropriate to the role as reasonably requested.
