Our client, an ambitious and growing law firm in Oman offering a broad range of legal services to corporate and individual clients, is seeking a highly organized talented Paralegal & Administrative assistant. The role involves assisting with legal documentation, case management, regulatory filings, client communications, scheduling, and general office administration to ensure the smooth operation of the law firm.
Key Responsibilities
Paralegal Duties
- 1. Assist lawyers in preparing, reviewing, formatting, and proofreading legal documents, contracts, agreements, memoranda, and correspondence
- 2. Conduct legal and regulatory research as directed by lawyers
- 3. Organize and maintain physical and electronic case files
- 4. Prepare legal forms, applications, and supporting documentation for submission to government authorities and regulatory bodies
- 5. Track deadlines, court dates, hearings, and filing requirements
- 6. Coordinate document execution, notarization, certification, and legalization processes
- 7. Maintain accurate records of client matters and legal documentation
- 8. Liaise with government entities, courts, regulatory authorities, and external service providers when required.
- 9. Monitor legal and regulatory updates relevant to the firm's practice areas.
Administrative Duties
- 1. Manage incoming calls, emails, and correspondence
- 2. Schedule meetings, appointments, and client consultations
- 3. Coordinate calendars and travel arrangements for lawyers and management
- 4. Prepare meeting agendas, minutes, and follow-up action items
- 5. Maintain office filing systems and document management procedures
- 6. Assist with client onboarding, engagement letters, and administrative documentation
- 7. Support billing and invoice preparation by collecting matter-related information
- 8. Handle general office administration and procurement of office supplies
Client Relations
- 1. Serve as a professional point of contact for clients and visitors
- 2. Assist in responding to client inquiries and requests in a timely manner
- 3. Maintain confidentiality of client information and firm records
- 4. Ensure a high standard of client service and communication
Qualifications
- 1. Bachelor's degree or Diploma in Law, Business Administration, Legal Studies, or a related field
- 2. Paralegal certification is an advantage
Experience
- Minimum 3-5 years of experience in a law firm, legal department, or professional services environment
- Experience with legal documentation and administrative support function.
- Familiarity with Omani legal and regulatory procedures is preferred
Skills & Competencies
- Excellent written and verbal communication skills in English
- Arabic language proficiency is strong required
- Strong legal drafting and document management skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook
- Excellent organizational and time-management abilities
- Strong attention to detail and accuracy
- Ability to manage multiple tasks and work under pressure.

Working Relationships
The Paralegal & Administrative Assistant works closely with lawyers, clients, government authorities, regulatory bodies, and external service providers to support the firm's legal and administrative operations
